Purpose The Senior Manager, HR Projects will lead and manage the delivery of key HR projects within GEMS Education. This includes the planning, executing, and monitoring of HR projects from initiation to closure, ensuring they are delivered on time, within scope, and on budget. HR projects will be both strategic and operational across all HR streams including talent acquisition, performance management, leadership development, operations, onboarding, regulatory and compliance, and HR systems. Key Accountabilities Project Planning:
Manage the planning and execution of all projects defined in the HR business plan and other initiatives as required.
Effectively manage and execute all assigned projects on scope, on budget and within defined timelines. There projects will be across talent acquisition, performance management, leadership development, HR operations, onboarding, regulatory and compliance, and HRs systems.
Manage and control the end-to-end process of capturing data for all key project documents, including but not limited to problem statements, business cases, business requirements, change requests, status reports, milestones, achievements, etc.
Support the development of robust business cases and lead the creation of project plans to ensure that the projects scope, benefits, impacts, costs and timelines are fully described thereby resulting in effective and efficient execution.
Provide consultative support to translate broad initiatives into operational projects for execution
Manage project meetings, track action items, and ensure all items are completed based on defined project schedules.
Provide orientation and work direction to key stakeholders within a project i.e. SVP HR, Chief of Staff, VP Communications, Principals (current and prospective)
Support the closing process for projects ensuring all documentation is made available for lessons learned and for the update of impacted processes, tools and templates.
Project Reporting and Matrix Management:
Create and maintain project schedules, status reports and updates
Draft and manage assigned project schedules ensuring that milestones are completed on time
Provide update to the SVP HR on a bi-weekly basis (twice a week)
Partner with the SVP HR and People Analytics team in executing the Continuous Improvement (CI) framework across the GEMS group.
Execute and support company-wide continuous improvement (Lean) initiatives including training on methodology and tools.
Alongside the HR leadership team, support project identification, project prioritization and the creation and maintenance of the annual project roadmap, business plan and strategic plan as required.
Build and maintain strong interpersonal relationships and gain consensus with all internal and external stakeholders.
Facilitate the resolution of conflict that could arise due to resources, budget and scheduling challenges including progress to date, quality of issue management and/or miscommunication.
Raise issues to SVP HR for action inclusive of description of the issue, comprehensive analysis of options and recommendation for remediation.
Project Implementation & Evaluation:
Execute the project according to the project plan.
Develop forms and records to document project activities.
Ensure that all project information is appropriately managed and documented in accordance with policy.
Monitor the progress of the project and make adjustments as necessary to ensure the successful completion of the project
Update stakeholders in the organization on the progress of the project
Review the quality of the work completed with the project team on a regular basis to ensure that it meets project standards
Manage risks and plan for contingencies to ensure minimal impact on deliverables, establishing a transparent communication process to escalate, manage and resolve issues.
Identify and manage internal dependencies across GEMS functions and with external suppliers and regulators where appropriate.
Ensure that the project deliverables are on time, within budget and at the required level of quality
Evaluate the outcomes of the project as established during the planning phase
Support the SVP HR to identify areas for project process improvement
Skills Expected Qualifications & Experience:
Bachelors degree in Human Resources, Business, Project Management, or a related field.
CIPD qualified or equivalent is preferred
Project Management Professional (PMP) certification is preferred
A minimum of 7 years experience across different HR streams including talent acquisition, performance management, leadership development, operations, onboarding, regulatory approval and compliance
A minimum of 3 years as an HRBP or HR Generalist or HR Project Manager
Proven track record in leading complex HR projects of change in a fast-paced environment.
Command of common office tools i.e. Microsoft Office Suite, Microsoft Project is a plus
Experience in HR transformation, process changes and implementation.
Experience of planning and executing projects of varying size and complexity involving but not limited to the areas of recruitment, reward and recognition, safeguarding, etc.
Experience of partnering with and influencing senior stakeholders
Experience in change management
