The Data Administrator will serve as the focal point for project and document management data
manipulation and reporting, working with the Engineering, Procurement and project management
teams in providing the necessary reports to analyze the current project status and highlight items
requiring management intervention.
Translate what the internal and external customers\xe2\x80\x99 requirements from available data into graphical
illustrative reports.
Innovate reporting to provide dashboards and reports for presentations and provide real time
reporting, using variety of systems such as Power BI, SharePoint. Tracking Planned, forecasted and
actual dates in relation to time schedule.
Extract and manipulate data from EDMS and Project planning systems to provide insights into project
performance and efficiencies.
Investigate opportunities to provide visualization of data contained within project Management
systems.

KEY ACCOUNTABILITIES AND RESPONSIBILITIES
\xef\x82\xb7 Develop reporting tools for Class 1 document review, targeting documents for critical review and
with focus on delivery and review cycle performance.
\xef\x82\xb7 Establish Procurement Dashboard to be able to show an overview for all packages together.
\xef\x82\xb7 Extract Aconex data, cleanse and publish daily reports for project teams, highlighting any
variations between the original planned issue dates and actual issue dates.
\xef\x82\xb7 Reporting on document delays where EPC CONTRACTORs have not submitted documents as
per the project schedule.
\xef\x82\xb7 Develop email automation to notify each engineer of the Overdue, Due and Near Due documents
on a daily basis.
\xef\x82\xb7 Establish data cleaning processes in preparation for using data in reporting tools.
\xef\x82\xb7 Build and maintain Aconex workflows as required to assist Engineering Team.
\xef\x82\xb7 Evaluate project team requests for ad hoc reporting and make recommendations for
implementation.
\xef\x82\xb7 Download Aconex data in preparation for building and issuing document Daily Report, Historical
Document report, Document Pending and Documents in workflows.
\xef\x82\xb7 Develop visual reporting tools, trend and status graphs, to see status of document Delays, Not
Received and Correlations.
KEY RESPONSIBILITIES AND ACTIVITIES \xef\x82\xb7 Co-ordinate and be the focal point for data reporting queries from IPMT.
\xef\x82\xb7 Understand the client and internal project requirements for data collection, conditioning,
reporting and turnover.
\xef\x82\xb7 Build the architecture to provide the foundation for reporting and dashboarding.
\xef\x82\xb7 Interface with IPMT to ensure active exchange of best practice and alignment of document
control processes, track document workflows, approvals, and distributions.
\xef\x82\xb7 Co-ordinate with EPC CONTRACTOR\xe2\x80\x99s to facilitate the setup and configuration of the data
repositories to meet the project requirements.
\xef\x82\xb7 Manage the day-to-day data management and collection queries raised by IPMT.
\xef\x82\xb7 Setting up of tools that allowed the automation of reports for upper management regarding status
of the projects.
\xef\x82\xb7 Support IPMT team on data visualisation, designing reports and KPI\xe2\x80\x99s on data extracted from
supporting systems.
\xef\x82\xb7 Development of procedures/specifications as required
HSE
\xef\x82\xb7 Ensure HSE is prioritized above other matters and that it is never compromised.
\xef\x82\xb7 Act as a role model for HSE on the project at all times.
\xef\x82\xb7 Promote HSE visibly where possible.
INTEFACES
\xef\x82\xb7 Weekly meeting and ad hoc workshops with EPC CONTRACTOR\xe2\x80\x99s, Document Control, Project
Controls, Engineering and Project Management Teams for application and reporting
development.
PEOPLE
\xef\x82\xb7 Participate in team building activities to contribute to a well-functioning of the organization.
\xef\x82\xb7 Provide technical support and input to the individual project packages and Project Management.
ENGINEERING
\xef\x82\xb7 Align reporting requirements across all packages and EPC CONTRACTOR\xe2\x80\x99s.
\xef\x82\xb7 Develop informative reporting tools to assist in on-time document reviews.
\xef\x82\xb7 Assist in maintaining MDR, EDDR, DDM.

QUALITY
\xef\x82\xb7 Analyse documentation schedule data identifying inconsistencies and anomalies in EPC
CONTRACTOR\xe2\x80\x99s delivery programme.
\xef\x82\xb7 Report on CONTRACTOR document data quality issues to Project Management and propose
mitigation measures.
\xef\x82\xb7 Data cleaning for documentation of time analysis.
RISK
\xef\x82\xb7 Contribute to risk logs and risk registers with appropriate analytics for document management.
\xef\x82\xb7 Evaluate, log, and report risks and identify opportunities for risk mitigation within document
management area. Keep SPM, Project Controls and Project Information Manager informed
accordingly.
\xef\x82\xb7 Identify negative trends and items of concern for the EPC CONTRACTOR\xe2\x80\x99s document delivery
and review processes.
\xef\x82\xb7 Perform Gap analysis of Deliverables throughout Project Registers.
REPORTING REQUIREMENTS
\xef\x82\xb7 Provide inputs to the Project Information Manager for the weekly reporting.
\xef\x82\xb7 Set up effective Data Analysis tools to monitor and report Project Progress.
\xef\x82\xb7 Develop, implement, and maintain automation of reports for upper management regarding status
of the project.
QUALIFICATIONS, EXPERIENCE, KNOWLEDGE & SKILLS
\xef\x82\xb7 Minimum 12 years of Document and Data Management combined with Project Control
experiences.
\xef\x82\xb7 Administration of electronic database tools to analyse, manipulate and transfer data, ETL.
\xef\x82\xb7 Worked for major Oil & Gas Industries, experienced in all project phases, from FEED, BID,
throughout EPC to Start Up, from Client, Contractor, and Engineering perspectives.
\xef\x82\xb7 Expert-level understanding of project information and document management processes.
Ability to translate Client requirements into reports for management understanding and
consumption.
\xef\x82\xb7 Expert knowledge in document management, data manipulation, interrogation and reporting.
\xef\x82\xb7 Reporting Automatization through Excel using SQL and Visual Basic for Application.
\xef\x82\xb7 Management of Change processes
Professional Certifications
\xef\x82\xb7 Bachelor\xe2\x80\x99s degree or equivalent from an accredited institution.
\xef\x82\xb7 Data Analytics certification preferred.
