Position Overview
A prominent private individual seeks a highly organized, proactive, and discreet Senior Executive Assistant / Estate Manager to oversee the seamless integration of both professional business operations and a sophisticated private residence. This is a dynamic, dual-role position for a seasoned professional who can effortlessly transition between managing a rental business portfolio and ensuring the impeccable management of a private household. The ideal candidate will be a strategic problem-solver, an effective leader, and a trusted confidant, capable of operating with the utmost integrity and confidentiality.
Key Responsibilities
1. Business & Office Management (Rental Business)

  • Act as the primary point of contact and liaison for all matters related to the rental property portfolio.
  • Manage tenant relations, including onboarding, communications, and issue resolution.
  • Oversee property maintenance, coordinating with contractors, technicians, and property management companies.
  • Prepare and manage rental agreements, invoices, and tracking of payments.
  • Maintain accurate financial records for the business, including income and expenditure reports.
  • Assist with budgeting, financial forecasting, and reporting for the rental business.
2. Private Residence & Estate Management
  • Manage the day-to-day operations of a large private residence, ensuring it runs to the highest standards of efficiency and presentation.
  • Lead, train, and schedule a domestic staff team (e.g., housekeepers, chefs, drivers, security).
  • Oversee all household inventories, including supplies, luxury goods, and equipment.
  • Coordinate and manage vendors, contractors, and service providers for maintenance, renovations, and projects.
  • Manage household budgets, track expenses, and process invoices with a high degree of financial accuracy.
3. Executive & Personal Assistance
  • Provide comprehensive executive support to the Principal, including complex calendar management, travel coordination, and correspondence.
  • Organize and manage high-level private and family events, from intimate dinners to larger gatherings.
  • Handle confidential documents and information with discretion.
  • Act as a gatekeeper, managing communication and access to the Principal efficiently.
  • Run errands and manage personal projects as required.
4. General Management & Oversight
  • Implement and maintain efficient organizational systems for both the business and the household.
  • Proactively identify and solve problems before they escalate.
  • Ensure all operations comply with local regulations and standards.
  • Manage multiple projects simultaneously, from conception to completion, ensuring they are delivered on time and within budget.
Qualifications & Skills
Essential:
  • Proven experience (minimum 5-7 years) in a similar dual-role capacity, such as Executive Assistant, Estate Manager, House Manager, or Office Manager for a UHNWI or family office.
  • Strong financial acumen with demonstrated experience in budgeting, expense tracking, and financial reporting.
  • Exceptional leadership and team management skills, with the ability to motivate and direct staff.
  • Outstanding organizational, multitasking, and time-management skills, with a keen eye for detail.
  • Superior problem-solving abilities and a proactive, "can-do" attitude.
  • Impeccable discretion, integrity, and a proven track record of handling confidential matters.
  • Excellent verbal and written communication and interpersonal skills.
  • High proficiency in MS Office Suite (Word, Excel, PowerPoint, Outlook) and other office management software.
  • Professional fluency in English.
Desirable:
  • Previous experience working in the UAE or the GCC region.
  • Knowledge of the local real estate rental market and regulations in Dubai.
  • Fluency in Arabic or other languages.
  • A valid UAE driver's license.
