Senior Real Estate Administrator

to join our team and help ensure smooth operations across all transactions.

As a Senior Real Estate Administrator, you'll manage the administrative processes supporting property transactions, compliance, and office operations. You'll work closely with agents, clients, and management, ensuring all documentation is accurate and compliant while helping keep the office running efficiently.

Key Responsibilities

Transaction Coordination and Documentation

Manage the full administrative process from new listings to property transfer Manage property listings across various online Real Estate portals through CRM Prepare, draft, and review contracts, agreements, leases, and legal documents Coordinate signatures, notarizations, and submission of paperwork to relevant parties Maintain meticulous records of all transactions in compliance with regulatory requirements

Office Administration & Compliance

Develop and maintain filing systems, databases, and digital archives Getting required permits and licenses related to industry activities Manage internal audits of files and documents to ensure data accuracy and completeness

Client Liaison

Serve as a primary point of contact for clients, agents, and other third parties Provide prompt and professional responses to client inquiries Support agents with client communication, scheduling, and follow-ups

Marketing and Listings Support

Assist in preparing marketing materials, property brochures, and online listings Coordinate photography, signage, and other listing requirements

Key Skills & Qualifications

Minimum 4 years' experience in a real estate administrative role, ideally at a senior level In-depth knowledge of real estate processes, documentation, and compliance requirements Exceptional attention to detail and accuracy Strong organizational and time management skills, with the ability to prioritize multiple tasks Excellent written and verbal communication skills Confident working independently and as part of a team Proficient in MS Office (Word, Excel, Outlook) and real estate management software (e.g. CRM systems, Salesforce) Ability to handle sensitive and confidential information with discretion
