Skills & Competencies:
  • Exceptional written and verbal communication skillsOrganizational skills: juggling many tasks and large quantities of information;
  • Discreet: deal with confidential information and delicate situations;
  • Expert problem-solver, including out-of-the-box, imaginative thinking;
  • ITL savvy: type upwards of 70 words per minute, quick learner of new software, and comfortable with email and internet research.
Education & Qualifications:
  • Bachelor\'s degree in a related business field;
  • Minimum 2-3 years experience in a similar role;
  • Experience in real estate or interior design/Fitout is an added advantage;
  • Currently in Dubai, ready to join immediately.
Description
In the capacity of Secretary/Project Assistant, your role is multifaceted. You are responsible for creating and managing the team\'s schedule on a daily, weekly, and monthly basis. General phone calls and email correspondence fall under your purview, along with the organization and scheduling of meetings and appointments. This involves booking meeting rooms, coordinating conference calls, and diligently recording messages and minutes during meetings.

Beyond this, your role extends to the logistical aspects of office management. You handle tasks such as ordering and maintaining office supplies, making travel arrangements, and managing the current agenda while arranging new meetings and appointments. Financial aspects, including bookkeeping, documenting expenses, and handling financial information, are also part of your responsibilities.

You play a vital role in implementing and developing office procedures, ensuring the smooth flow of administrative tasks. The confidentiality of information is paramount, and you are tasked with maintaining, filing, and storing sensitive data appropriately.

Supporting various functions, from presentations and reports to emails and letters, is part of your routine. Administrative duties, including filing and photocopying, contribute to the overall efficiency of office operations.

Your flexibility is showcased as you undertake any supporting task requested by management. Additionally, you serve as a central point for organizing and distributing messages to the appropriate team members.
