Job Description

Prepares Leave Schedules of KSA Staff and ensures that the schedule is implemented by each Staff of the Centre. Ensures the Office Equipment is all working in order, whenever necessary arranges its repairs or replacements. Provide all news (business & social) professionally for the newsletter. Liaise with subcontractors for the day to day operations - as and when needed. Follow up with Instructors for the submission of reports on time. Administrates the Office effectively by giving prompt responses to Clients. Assist Visitors and consultants with their Visas, Travel arrangements and Hotel Bookings as necessary. Handles all correspondences and communication effectively in the presence and/or absence of the General Manager. Prepares all general and confidential correspondences of the GM and maintains General and Confidential Files. Ensures that the General Filing system is maintained in a most professional manner for easy reference by all concerned staff members. Maintains an update record of the Mailing List of our Clients and Principals for quick and easy reference by concerned Staff members. Schedules Appointments for both Internal and External Meetings and maintains a proper record of all Meetings conducted. Completes all travel and accommodation arrangements for the GM. Arrange Entertainment of clients, etc. for the GM. Maintains proper records and ensures the GM Entertainment objectives are met. Scrutinizes and ensures that the final Agreements/contracts received from our clients are all in order and arranges for its signatures by the concerned Executives. Screens and ensures that all documents received from Departments are all in order, prior to the GM's approvals. Liaisons with the Senior Management, other Division Managers and other Company Staff for proper execution of pending matters or correspondences as it arise. Assist in preparing Tender documents - Technical in co-ordination with the concerned department & Operations Manager, GM and Commercial in co-ordination with the Accounts department & GM. Prepare Training Matrix of the branch as per the guidelines given by the General Manager. Arrange necessary Training for the Staff as per the approved Training Matrix in co-ordination with the General Manager. Prepares the Job Assessment Forms for all Employees and ensures that the Employee Appraisals of all Staff are raised by the concerned and submitted to the GM within the given time frame. Maintains a sound and healthy relationship and communication with all Staff Members of the Company and Contacts outside the Company. Carries out additional duties that may be given by the General Manager. Proper Hand-over of pending jobs to the concerned supervisor before going on leave.
