Job Title: School Front Desk Executive Department: Administration Start Date: September 2022 Reports to: Head of Marketing & Admissions Job Scope: To work alongside the School Front Desk Assistant and administration staff and to be responsible in all aspects of the smooth and efficient running of the School Front Desk, including secretarial and reception duties and admin support. Main Duties and Responsibilities The following duties are not shown in order of priority or frequency, nor is the list comprehensive, but rather an indication of the type and level of duties expected of the post.
To welcome visitors and acting as first point of contact for all visitors to the school
To be an excellent ambassador for the school when dealing with all general enquiries, in person and via email, from parents, suppliers, visitors, staff, and students
To deal with telephone enquiries in a prompt, friendly and efficient manner and taking clear and accurate telephone messages.
To respond to any parental and staff enquiries as appropriate
To ensure that the reception area is tidy and welcoming at all times
To register late arriving/early pick up students
To maintain and update the student’s attendance system
To assist with filing, maintaining, and updating information on ISAMS
To arrange couriers and sort and distribute post
To assist the Head of Marketing & Admissions with beginning and end of year administration and preparation
To support the Admissions and Marketing team during peak times
To provide administration, support, and practical arrangements for major events, i.e., Parent Teacher Conferences, school shows
To assist in distribution of e-mails from general school e-mail folder
To contribute to the smooth running of the reception
To maintaining records and files
To keep telephone list updated
To assist in administrative tasks allocated by line manager
To be aware of and comply with policies and procedures relating to child protection, health, safety and security and confidentiality, reporting all concerns to an appropriate person.
To contribute to the overall ethos and aims of the School
Key Relationships Internal: SISD team, School Management, Teachers, Students External: Parents, Guests, Partners, Suppliers Position Requirements Education: Administration and/or Customer Service background Experience:
A minimum of 3 years’ experience in the capacity of a Front Desk Executive/ Receptionist / Administrator in a multicultural environment or any other Customer Service function
Experience of working in a school, college or university a plus
Competencies:
A second language desirable (French, German, Russian)
A positive, flexible, ‘can do’ work ethic.
Exceptional communication and organisational skills
Strong collaboration skills to foster partnerships with all staff
Calm and approachable manner
Empathetic to the needs of all staff
Excellent standards of personal presentation.
