Sales Coordinator

Job Description

The Sales Coordinator will be the critical link between the Sales team, customers, and internal departments (Production, Logistics, Finance). This role is responsible for ensuring the seamless execution of the sales process, from initial order placement through to delivery and after-sales support, with a specific focus on the complexities of a food manufacturing environment (inventory, shelf life, and international logistics).

Key Responsibilities



1. Order Management & Processing



Handle Sales Orders:

Process all sales orders accurately and timely using the company's ERP/CRM system. This includes verifying pricing, product availability (sesame seeds, various tahini SKUs), and delivery details.

Inventory Coordination:

Work closely with the Production and Inventory teams to monitor stock levels, manage forecasts, and ensure adequate product availability to fulfill current and future orders. Flag potential shortages or delays proactively.

Logistics & Shipment:

Coordinate all domestic and international shipments, preparing necessary documentation (invoices, packing lists, health certificates, Certificates of Analysis (COA) for food products). Communicate shipping status and tracking information to customers.

2. Customer & Sales Support



Point of Contact:

Serve as a primary internal point of contact for customer inquiries regarding orders, product specifications, lead times, and shipping status.

Sales Team Assistance:

Provide administrative support to the Sales Representatives, including preparing sales presentations, quotes, sample requests, and contract documentation.

Discrepancy Resolution:

Promptly and professionally address and resolve customer complaints, order discrepancies, or issues related to product quality or delivery in collaboration with Quality Assurance and Logistics.

3. Data Management & Reporting



CRM/Database Management:

Maintain and update the customer database and CRM with accurate information on contacts, communication history, and sales activities.

Sales Reporting:

Generate regular sales reports (e.g., weekly order status, monthly sales figures, forecast vs. actual) and provide insights to the Sales Management team.

Document Control:

Manage and organize all sales-related files, documentation, and records (e.g., contracts, export documentation, quality certifications).

Qualifications



Education:

Bachelor's degree in Business Administration, Marketing, Supply Chain Management, or a related field is preferred.

Experience:

1-2 years of experience in a Sales Coordinator, Sales Support, or Administrative role,

preferably within the Food & Beverage, CPG (Consumer Packaged Goods), or Manufacturing industry.

Technical Skills:

Proficiency in Microsoft Office Suite (especially advanced Excel skills for reporting). Experience with CRM software (e.g., Odoo, ERPNext) and ERP systems. Familiarity with export documentation and international logistics is a strong asset.

Job Type: Full-time

Pay: AED3,000.00 - AED4,000.00 per month
