Ensure smooth administration of the Sales Department to the standard required by the Hotel and follow up of assigned and Walk-In site inspections and in-house group arrangements
Coordinate all internal and external correspondence, incoming e-mail, and other administrative duties for the Sales, Marketing & Magnifique Meetings team.
Maintain complete and supported records of all sales agreements, contracts and quotes for the hotel as per Sofitel procedures and policies
Provide a courteous, professional, efficient, and flexible service at all times, following Sofitel Dubai Downtown standards of performance, by e-mail, phone, or in person
To be fully conversant with all services and facilities offered by the hotel
Perform opening and closing procedures established for the Sales office
Ensure that the Sales office and the surrounding area are kept clean and organized at all times
Monitor operating supplies and reduce spoilage and wastage
Utilize Opera for all accounts management functions and assist the assigned Sales Managers & Executives with the necessary follow-up when they are out on sales calls
Ensure that the correct booking procedures are implemented, including group room and meeting program history, contractual agreements, room block analysis, etc.
Coordinate with external partners to ensure the timely delivery of goods and services.
Ensure that all sales contracts follow the established Hotel Policies and Procedures
Support the team on day-to-day administration tasks like raising Travel Authorization forms, Expense reports, and coordinating tasks as required.
Qualifications
Diploma or degree in vocational hospitality
Previous experience in the related role within the hospitality industry is preferred
Strong communication and interpersonal skills
Proficient in Microsoft Office.
Passion for the hospitality industry and a desire to be part of a top-tier team
Excellent organizational skills and time management
Languages: fluent in English
