Sales Coordinator
Reports To: Director of Sales & Marketing / Sales Manager
Job Summary:
The Sales Coordinator provides critical administrative and coordination support to the Sales Department, ensuring smooth operation, clear communication, and professional client interaction. This role is the operational backbone of the sales office.
Key Responsibilities:

• Serve as the first point of contact for the sales department, handling phone calls and general email inquiries.
• Prepare and distribute all sales-related documents, including proposals, contracts, welcome letters, and promotional materials.
• Manage the department's calendar, schedule client meetings and site inspections, and coordinate logistics.
• Maintain the CRM and sales filing systems, ensuring all client data and contracts are accurately entered and organized.
• Process leads from various sources and distribute them to the appropriate sales manager.
• Assist with the preparation of sales reports, presentations, and mailing campaigns.
• Liaise with other departments (Reservations, Events, Accounting) to ensure client needs and billing instructions are communicated accurately.

Qualifications:

• Associate or Bachelor's degree in Business Administration, Hospitality, or related field.
• Prior administrative experience, preferably in a hotel or sales environment.
• Exceptional organizational skills and acute attention to detail.
• Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and hotel CRM/Sales software.
• Excellent written and verbal communication skills. Ability to multitask in a fast-paced environment.
