Key Responsibilities

  • Prepare proposals, contracts, quotations, and presentations for the sales team
  • Maintain and update client databases, sales tracking systems, and reports
  • Handle customer inquiries and provide accurate product and service details
  • Follow up on leads, confirmations, and contract deadlines
  • Coordinate site inspections for prospective clients
  • Support sales campaigns, promotions, and marketing activities
  • Serve as the main contact for clients during the event planning process
  • Manage event logistics including room setup, audiovisual needs, meals, transportation, and accommodation
  • Prepare event orders, function sheets, and internal communication documents
  • Ensure timely delivery of event materials such as menus, agendas, seating plans, and layouts
  • Coordinate with catering, operations, and technical teams for smooth event execution
  • Conduct event follow-up and collect client feedback
  • Prepare daily and weekly event summaries and departmental schedules
  • Track invoices, deposits, and billing for events
  • Maintain organized documentation and support budgeting and cost control
Ideal Profile
  • Diploma or degree in hospitality, business, sales, or related field
  • Experience in hotels, conference centers, or corporate events
  • Knowledge of banquet operations and event industry practices
  • Familiarity with sales systems such as Opera, Delphi, Salesforce, or similar
  • Strong planning and organizational skills with ability to manage multiple projects
  • Attention to detail and ability to adapt to last-minute changes
  • Proficiency in Microsoft Office and CRM or event software
  • Professional appearance with strong communication and teamwork skills
  • Ability to work evenings or weekends when required for events
  • Knowledge of local vendors and event spaces in Dubai
  • Arabic proficiency is preferred
