Job Title: Office Administrator - Sales Department [Female - Arabic & English Speaker]



Location: Dubai, UAE



Employment Type: Full-time



Position Overview:



The Office Administrator will play a key role in supporting the Sales Department by managing administrative processes, coordinating with clients, and ensuring smooth operations between sales, logistics, and accounts.

Key Responsibilities:



1. Administrative Support

Prepare, process, and maintain quotations, purchase orders, contracts, and delivery documents.

Keep accurate records of sales transactions and customer communications.

Maintain proper filing systems for both physical and digital records.

2. Sales Coordination

Support sales executives in following up with clients, confirming orders, and updating order status.

Liaise with the warehouse and logistics team to ensure on-time deliveries.

Coordinate schedules for client meetings, site visits, and product presentations.

3. Reporting & Data Management

Update and maintain CRM or ERP systems with client and sales data.

Generate sales performance reports and monthly summaries.

Assist in preparing tender documents and product presentations.

Requirements:



Bachelor's degree or diploma in Business Administration or related field.

Minimum 3-4 years' experience as an Office Administrator, preferably in sales or distribution.

Must be fluent in Arabic and English (written and spoken).

Proficiency in MS Office (Word, Excel, Outlook, PowerPoint).

Experience with ERP systems (Odoo, Zoho, or similar) is an advantage.

Strong organizational skills, attention to detail, and ability to multitask.

Familiarity with lubricants, oils, or automotive products is an advantage.

UAE work experience preferred.

Working Hours: Monday to Saturday

Salary: Competitive - Based on experience and qualifications
