The Reservations cum Sales Executive manages daily booking inquiries while driving sales through corporate, OTA, and travel agency channels. The role focuses on maximizing occupancy, optimizing pricing, and maintaining excellent guest communication. It also involves coordinating with marketing to close booking gaps and support Durrani Holiday Homes' overall revenue growth.

Key Responsibilities

Reservations & Guest Handling
Respond promptly to all booking inquiries via OTAs, website, phone, WhatsApp, and email within the defined SLA (3 minutes).
Record all inquiries in Hostaway PMS with complete guest details and ensure follow-up until closure.
Confirm booking details, verify payments, and coordinate with Guest Relations and Housekeeping for pre-arrival readiness.
Conduct Welcome Calls for all confirmed bookings to explain policies and cross-sell services or upgrades.
Monitor OTA bookings daily for new, modified, or cancelled reservations and update the system accordingly.
Maintain a 100% accuracy rate in all booking entries, rates, and notes within Hostaway.

Corporate & Long-Stay Sales
Identify and develop corporate partnerships with companies seeking short-term or long-term serviced accommodation.
Create and maintain a corporate client database, update contact records, and track repeat business.
Prepare corporate rate proposals, seasonal offers, and customized packages aligned with company strategy.
Follow up on all corporate leads, arrange property tours, and convert inquiries into confirmed bookings.
Work closely with the Accounts team to ensure timely invoicing and payment follow-ups for corporate clients.
Maintain monthly targets for corporate conversion, retention, and revenue contribution.

Travel Agency & B2B Sales
Build strong relationships with travel agencies, tour operators, and relocation firms.
Negotiate net rates and commission structures under management guidance.
Maintain travel trade contact lists and regularly share Durrani Homes' property updates and offers.

Direct & Retail Sales
Manage all retail and direct guest inquiries through website, social media, and walk-ins.
Upsell add-on services (airport transfers, tours, housekeeping, etc.) to maximize per-booking revenue.
Promote loyalty discounts for returning guests, referral programs, and extended stay offers.
Follow a structured follow-up cycle with potential leads, converting at least 30% of follow-ups per month.

Data Mining & Sales Outreach
Utilize the existing Durrani Homes guest database to re-engage previous guests and drive repeat bookings.
Send targeted email campaigns or WhatsApp messages (in coordination with marketing) to boost off-season occupancy.
Maintain an updated lead tracker with conversion stage, source, and expected closure date.
Monitor daily inquiry reports and identify booking gaps to fill via promotions or outbound sales calls.

Coordination with Marketing Department
Collaborate closely with the Marketing team to design and launch promotional campaigns, flash deals, and seasonal packages.
Provide real-time feedback on market trends, competitor pricing, and guest behavior.
Review and analyze OTA performance reports and marketing leads weekly to identify improvement areas.

Reporting & Analysis
Maintain a Sales & Reservations Dashboard tracking inquiries, conversions, cancellations, and revenue performance.
Prepare weekly and monthly reports for management review, including:
Lead-to-booking conversion ratio
Corporate client status
Travel agency revenue
Booking gap analysis
Average Daily Rate (ADR) and Occupancy trend
Recommend actions to boost sales performance based on data analysis.
Required Skills & Competencies
Strong communication and persuasive sales skills.
Excellent command of English (Arabic is a plus).
Familiarity with OTA systems (Airbnb, Booking.com, Expedia and Hostaway PMS).
Proficient in MS Office, Excel dashboards, and CRM tools.
Negotiation, presentation, and customer service expertise.
High initiative, problem-solving ability, and result-oriented mindset.
Qualifications
Bachelor's degree in Business, Hospitality or equivalent
Minimum 2-3 years of experience in hospitality, holiday homes, or hotel sales/reservations.
Proven track record in achieving sales targets and managing corporate clients.
