Reservations Administrator (remote Nightshift)

Job Description

The Reservations Administrator - Nightshift is responsible for ensuring seamless reservation management and guest communication during evening hours (8:00 PM to 4:00 AM UAE time). This role requires handling guest inquiries, managing last-minute bookings, coordinating with building management, and ensuring compliance with operational procedures.

Key Responsibilities:

Guest Communication



- Respond promptly to guest inquiries via phone, email, messaging platforms, and booking portals (Booking.com, Airbnb, etc.).
- Provide professional support for check-in/check-out coordination and resolve guest concerns during night hours.
- Send greetings, confirmations, and follow-ups including passport ID verification and security deposit arrangements.

Reservation Management



- Review and confirm bookings, with special focus on last-minute reservations.
- Update the team and escalate concerns to the Reservation Manager when necessary.
- Monitor system entries to ensure accuracy and prevent double bookings.

Documentation & Compliance



- Handle move-in permits, insurance renewals, and other required documents through building management portals.
- Verify guest passport IDs with DTCM and prepare nightly reports.
- Maintain accurate records in Hostify and ensure compliance with DTCM regulations.

Building & Vendor Coordination



- Communicate with building management for permits, NOCs, and access card matters.
- Ensure all updated insurance, unit permits, and property documentation are submitted as required.
- Liaise with external vendors (e.g., maintenance, housekeeping) to resolve urgent issues overnight.

Financial Administration



- Support invoice requests, credit notes, and expense tracking.
- Process parking/access card applications and replacements.

REQUIREMENTS

- Strong organizational and multitasking skills.

- Excellent verbal and written communication.

- Proficiency with Booking.com, Airbnb, Hostify, and building portals.

- Knowledge of DTCM compliance procedures preferred.

- Ability to work independently and handle urgent situations remotely.

QUALIFICATIONS



- Bachelor's degree in hospitality management, Business Administration, or related field (preferred).
- Proficiency in Microsoft Office Suite and property management systems.

EXPERIENCE



- 2-3 years in reservations, guest services, or hospitality administration.
- Demonstrated success in handling last-minute bookings and guest communication.
- Strong track record in customer service and problem-solving.

Job Types: Part-time, Temporary
Contract length: 6 months

Pay: From AED4,000.00 per month
