Job Overview
The Registration Specialist will manage regulatory submissions for product approvals, coordinate with regional health authorities, and ensure labelling and documentation compliance for all beauty and non-beauty product lines. The role requires cross-functional collaboration between brands, warehouses, translation agencies, and government bodies to prevent shipment delays and ensure smooth market launches.
Key Responsibilities

• Coordinate with brand teams to obtain product lists for each season or launch
• Advise on documentation requirements and HS codes by country
• Liaise with regulatory authorities in UAE, Saudi Arabia, Kuwait, Bahrain, Egypt for product registration
• Submit products to Montaji (Dubai Municipality), MOIAT, SFDA, SASO Saber, and other relevant portals
• Manage sample collection, inspection coordination, and product testing for certification
• Oversee Arabic translation of product labels and ensure alignment at warehouse level
• Track status of registrations across all regions and update internal logs
• Prevent shipment delays by ensuring all documentation is complete and compliant
• Coordinate Value Added Services (VAS) for Arabic label printing and application
• Handle invoice reconciliation, submission, and follow-up with the finance department
• Provide weekly updates to management on registration status
• Work closely with certification bodies for export documentation
• Maintain clear communication channels with brands, warehouses, stores, and authorities

Reporting & MIS

• Maintain real-time documentation and tracking systems for all product lines
• Share weekly registration status reports with leadership

Financial Management

• Ensure all vendor payments related to registration and certification are processed on time
• Track budget and invoice approvals for translation, testing, and regulatory services

Governance & Standards

• Ensure compliance with GCC regulatory standards and product labelling laws
• Streamline internal processes for faster product-to-market timelines

Job Requirements

• Diploma or equivalent qualification
• Minimum 2 years of experience in regulatory or registration roles
• Familiarity with product registration requirements for cosmetics and fashion items in UAE and GCC
• Proficient in communication and cross-department coordination
• Strong attention to detail and ability to manage multiple tasks
• Confidentiality, organizational skills, and ability to work under pressure
