The Postgraduate Registrar and Program Manager provides leadership and oversight to all aspects of student records across our variety of Master programs offered and is responsible of all aspects of program planning and delivery for the assigned program(s).

This role is a part of the Dubai Campus Academic Team and reports to the Campus Dean. This position plays a critical role locally (on campus) and globally (amongst a team of other campus registry) with academic operations by effectively providing oversight and management for the maintenance and integrity of all student academic records, all areas of student registration and the recording and reporting of grades, transcript evaluations, information reporting, compliance with applicable regulations, required audits of student enrollment, and the establishment and maintenance of processes for the equitable and consistent administration of policies and procedures as they relate to academic record keeping. The registrar supports the creation and maintenance of course schedules, reporting, and graduation.

This position liaises with faculty and global academic teams to manage the scheduling and classroom space assignments for the Dubai campus' graduate programs. The registrar provides strong leadership consistent with the academic goals and mission of the institution and leverages best practices to provide a student-centered approach, emphasizing exemplary service to all constituents.

Responsibilities

Records, Reporting, and Correspondence: * Assist in the management and upkeep of the myStudents (Salesforce) database student records.

  • Enter new student records and update information in myStudents (Salesforce).
  • Collaborate with other Hult campus registrars on policies and process for alignment.
  • Manage the collection of grades from Faculty and grade reporting to students.
  • Process surveys and course evaluations.
  • Assist in the withdrawal, leave of absence, dismissal meetings for students and inform/liaise with campus departments to assure process is complete.
  • Provide administrative strategic support on processes, and assist in process creation.
  • Provide excellent customer service to students, staff, and faculty.
  • Preparation and distribution of diplomas and transcripts.
  • Execute presentations to Academic staff and stakeholders.
  • Provide technical support to students regarding schedules and course registration.
  • Maintain campus academic schedule & manage course scheduling for Dubai campus postgraduate programs.
  • Responsible to fulfill Dubai regulatory requirements and deliverables set by the Knowledge and Human Development Authority (KHDA), in coordination with Campus Dean.
  • Undertake any other functions not explicitly listed, but appropriate to support the academic administration.
Program Management * Manage all aspects of the assigned program(s) to deliver an outstanding student experience.
  • One on one and group academic advising for assigned program(s) and students.
  • Manages escalations of student issues.
  • Support the Dean of the campus to maintain the highest academic and student service standards.
  • Serve as the primary driver to ensure a meaningful and impactful experience and academic journey for our students.
  • Create and maintain a visible profile with our student body in order to support and advise them on academic and disciplinary matters.
  • Provide faculty with on-going administrative support with regard to the advising and care of students.
  • Partner with academic program faculty on pedagogy advancements.
  • Help interpret and implement policy.
  • Promote academic quality by improving efficiencies and processes.
  • Establish tools and metrics for program evaluation and assessment.
  • Serve on external and internal committees related to program design.
  • Participate in curriculum planning, academic quality and accreditation.
  • Oversee academic-related social functions and projects.
  • Function as the crucial bridge between Hult's student body and its administration.

  • Preferred: experience working with university SIS and LMS programs (experience of Salesforce is valued).
  • Experience in a student- or customer-facing role
  • Attuned to detail and insistent on correct information and data, both verbal and written
  • Ability to formulate and implement policies and procedures
  • Strong interpersonal skills and an ability to communicate clearly and professionally
  • Previous work experience with sensitive information and critical data
  • Meticulous attention to detail, exceptionally well organized, and able to prioritize tasks
  • High level of energy and enthusiasm to work under pressure, able to maintain composure in a fast-paced environment
  • Ability to balance long-term planning with short term objectives
  • Ability to present data and strategy clearly to stakeholders comfortably

Qualifications: * Minimum of 5-6 years of experience with academic program management, academic advising and data/records management
  • A Master degree
  • Cross cultural work or study experience
  • Excellent communicator with a can do attitude
  • Proficient in the use of standard software to manage data, interpret reports, and generate professional, well-presented documents and presentations, including Word, Excel, and PowerPoint
  • Able to attend occasional activities, events, and functions outside of normal school hours.
  • Able and willing to work on weekends depending on campus and program needs
  • Fluent English speaker with a similar level in written English
