Experience of end-to-end event management is essential

Duties & Responsibilities
Events
End-to-end management of events including, planning, executing, monitoring progress and reporting on events across a range of departments
A central event support and advisor for colleagues and lawyers across nine jurisdictions
Independently organise and manage a range of events from planning to execution i.e. external and internal conferences, seminars, workshops, client dinners etc.
Work with lawyers and other members of the marketing and business development team to identify and plan relevant and timely events
Identify new and creative ideas to improve the event planning, concepts and the client\'s experience
Research and provide industry insights to help shape the event agenda and content i.e. suitable speakers, key topics and themes
Manage all of the logistics, operations and elements related to event production: contracts, speakers, delegates, venue, collateral, registration, feedback, etc.
Ensure all aspects of event production are efficiently executed - invitations, venue bookings, catering, collateral production, event content, target / invite lists, registrations etc.
Populate and manage a schedule of events ensuring all information is up to date and accurate
Prepare and present event briefs to internal and external stakeholders ensuring full details are provided in advance
Advise on events best practice, including provision of full costs, venue and format options and project management schedules
Ensure project execution is on schedule and financial management is timely and accurate
Attend all events as the key point of contact to ensure all aspects of the event run smoothly from start to finish
Set up events, to include name badges preparation, materials, and other tasks as needed on the day of the event
Manage onsite requirements such as greeting participants / speakers, registration, distributing materials and responding to client requests, etc.
Prepare external and internal event communication that is clear and accurate i.e. event invitations, briefing notes, feedback emails and follow-up communications
Build and maintain strong relationships with internal stakeholders and external vendors / suppliers
Review and proof read marketing and event related materials to ensure accuracy and content is on-brand
Organise and attend external site visits to meet suppliers and access suitable venue options
Processes invoices for approval. Coordinates and assists with tracking events, expenses and budgets.
Manage queries from the events inbox ensuring emails are dealt with in a timely manor
Manage and post event briefings, feedback and return on investment insights
Marketing
Work with the in-house designer to ensure marketing collateral for events is printed and distributed across all offices (where necessary)
Source branded corporate gifts for events and other requirements
Support the firm\'s social media strategy by providing input when required. Create content and key event messages for social media channels
Highlight PR requirements where necessary to ensure maximum exposure for large corporate events
Work with CRM team and encourage its use within the relevant practices, sectors and offices
