Job Description

Purpose of Position:

To oversee and manage Expert recruitment and to proactively provide
professional support to project teams and enable sourcing of the best
candidates in the marketplace.

Primary Functions and Responsibilities:

Expert Recruitment management

  • Support and coordinate professional end to end recruitment services
  • Develop and manage a recruitment database in Taleo ensuring that the details
of quality candidates are maintained and utilised for future vacancies
  • Ensure that recruitment processes are maintained in line with company policy
and best practice for data protection and equal opportunity legislation
  • Work in partnership with project teams to support the recruitment of advisors
  • Ensure that all jobs have a defined and approved job description at the
commencement of any search
  • Gain approval from the appropriate project officer prior to proceeding with the
recruitment process on any position
  • Support the building of relationships with local and international recruiting
agencies
  • Define the process to source candidates, database, direct search via LinkedIn
or other sources
  • Maintain a current view on the competitive marketplace

Recruitment Administration

  • Manage the application process ensuring candidates are responded to
professionally and promptly at relevant stages of selection
  • Manage the Taleo data base together with other HR teams
  • Perform initial CV screening against key duties and responsibilities where
appropriate
  • Coordinate and manage the interview process with relevant project
stakeholders
  • Manage the timely and professional delivery of administration related to the
offer process: production of offer letters, employment contracts and reference
checks
  • Ensure contracts are issued signed, filed and scanned, and maintain the
contract database
  • Ensure that all new starters’ documentation is collated and processed, ensuring
the company is legally compliant with legislative and administrative requirements
(new starter forms, input details into People Soft database system, photograph,
personnel file creation)
  • Ensure recruitment processes are maintained in line with company policy and
best practice for data protection and equal opportunities legislation
  • Provide insights on the market as and when needed to project teams

Reporting and Budget Control

  • Produce timely reports relating to vacancies, time to hire, and recruitment
costs
  • Stats on why offers are declined and track market data to ensure our rates are
competitive

Additional Functions and Responsibilities:

  • Provide guidance to project teams on the interview process, pricing and
contractual frameworks
  • Support continuous improvement of recruiting process, by identifying
opportunities to be more efficient

Communication Skills

  • Proven excellent administrative skills and good telephone manner
  • Proven ability to plan and organize quickly and effectively, taking responsibility
for own work
  • Be able to use own initiative using pragmatic and intuitive approaches
  • Possess a demonstrated collaborative team working style, reliable under
pressure
  • Flexible, adaptable to change and resilient with a ‘commitment to make it
happen’ attitude
  • Be customer focused and able to handle sensitive information with appropriate
discretion
  • Must be a pro-active self-starter with a positive and confident style, able to
interact and communicate effectively at all levels
  • Accuracy with attention to detail with an approach to quality is essential
  • Be able to fit in with a lively and social group. A sense of humor is an asset.

Technical Skills:

  • Proficient in general Windows and in Microsoft Office (Outlook, Word, Excel,
and Power Point)
  • Proficiency in LinkedIn search tools
  • Proficient in Taleo and other HR tools
  • Excellent knowledge of English (written and spoken), proficiency in additional
language is an advantage

Education

  • University degree level

Previous Experience

  • Relevant work experience in a professional, corporate, customer-focused
driven business. Preferably an international firm.
  • Direct experience in executive search or Recruiting function
  • Experience in managing business partners, agency relationships and
candidate communication
  • Working experience in GCC

Key Points:

  • Proficiency in searching using LinkedIn or other platforms. Expertise in areas like Defense, Transport, Healthcare is a plus.
  • Experience in recruitment for niche roles where subject matter experts are required. Evidence of closing such roles.
  • Regional experience is advantageous but not essential
- Salary band: AED 21- 23K
  • Relocation flight can be facilitated
