About the Role

Job Purpose:
To ensure positive customer attention and satisfaction during all interactions with existing and potential parents, visitors, staff and students.
Part of this role will focus on attendance management system responsibility and providing administrative support to the Inclusion Team.

Key Responsibilities include, but not limited to:
Receptionist
  • Respond to telephone calls and enquiries courteously and be able to direct calls to appropriate school personnel as part of the customer service provision for the school.
  • Relate courteously with visitors and provide the appropriate welcome to the school to ensure a positive customer service experience.
  • Actively support the Admissions team by contacting enquiries and conversion of new leads to enrolments and updating it in the system (CRM), cross-selling to other GEMS schools with open seats, conducting school tours wherever necessary and assist in enrolment events as and when required.
  • Maintain open lines of communication to new & prospective parents ensuring that their concerns and feedback are handled effectively and efficiently; liaising with other school personnel as required.
  • Complete administration and secretarial tasks as assigned to support the broader Front of House team to achieve their objectives.
Attendance Administrator
  • Complete daily attendance checks and coordinate \xe2\x80\x98first day calling\xe2\x80\x99 in good time and in accordance with policy.
  • To collate attendance, absence and persistent absence data and support SLT in the analysis of this information.
  • To promote good attendance and ensure that policies are both adhered to and enforced.
  • Manage student \xe2\x80\x98leave requests\xe2\x80\x99, liaising with SLT and communicating with parents.
  • To ensure that the management information system is kept updated and accurate with student information.
Inclusion Administrator
  • Support the Inclusion Team with general clerical duties including, but not limited to, recordkeeping, IEPs, emailing staff, parents & external agencies; invoicing, sending letters and filing.
  • Monitor and assist with the maintenance of the SIMS Special Education Needs and English Language Learning database.
  • Compile data and prepare reports for presentation to the Inclusion Team, principal, parents, and staff.
  • Embrace and encourage the ethos and standards of excellence as defined in the GEMS Core Values.
  • To carry out any other reasonable duties as directed by the CEO and Principal.
Person Specification
Experience of Front of House and / or customer relations
Be able to work under pressure and manage customer experience
Be proactive and understanding whilst ensuring clear, consistent messages are relayed appropriately
Ability to work at pace and manage your time effectively

Skills
  • A personable, committed and creative individual with excellent organisational skills.
  • Effective use of Excel, Canva and other media-based programs.
  • Strong interpersonal skills and able to work effectively with students and staff.
  • Ability to effectively communicate with students, parents and colleagues and maintain confidentiality.
  • Commitment to improve opportunities for students.
