Key Responsibilities:
- Greeting Patients and Visitors: Welcome patients, provide assistance, and direct them as needed, creating a positive first impression.
- Scheduling Appointments: Manage appointment schedules, coordinate with healthcare providers, and minimize wait times.
- Managing Patient Records: Maintain accurate and up-to-date patient records, ensuring confidentiality and compliance with HIPAA regulations.
- Answering Phone Calls: Respond to incoming calls, screen and route calls, take messages, and provide information to callers.
- Administrative Tasks: Perform tasks such as filing paperwork, scanning documents, and processing medical records requests.
- Handling Patient Payments:
- Receive and process payments from patients, including cash, credit card, and insurance payments.
- Issue receipts to patients for payments made.
- Manage and reconcile daily payments and transactions.
- Patient Inquiries: Respond to patient concerns, provide information, and resolve issues promptly.
Requirements:
- Customer Service Skills: Excellent communication and interpersonal skills to interact with patients, visitors, and healthcare professionals.
- Organizational Skills: Ability to manage multiple tasks, prioritize duties, and maintain orderliness in a fast-paced environment.
- Computer Proficiency: Familiarity with electronic health records (EHR) systems, scheduling software, and office productivity tools.
- Attention to Detail: Accuracy in recording patient information, scheduling appointments, processing payments, and issuing receipts.
- Multitasking Abilities: Ability to handle multiple phone calls, patient inquiries, and administrative tasks simultaneously.
- Basic Math Skills: Ability to handle cash, process payments, and manage financial transactions accurately.
Additional Requirements:
- Language Skills: Proficiency in multiple languages may be required for clinics catering to diverse patient populations.
- Medical Knowledge: Familiarity with medical terminology and medical office software may be necessary for specialized clinics.
- Experience: Previous experience in a customer service or administrative role, preferably in a medical or healthcare setting, is often preferred or required.
