Job Description

Receptionist duties

Manage front desk:

Greet and welcome visitors and clients, directing them to the appropriate person or office.

Handle communications:

Answer and direct phone calls, take messages, and manage incoming and outgoing mail and deliveries.

Maintain the reception area:

Keep the front desk and waiting area clean, organized, and presentable.

Provide support:

Offer general assistance to visitors and employees, ensuring they have a positive experience.
Administrative duties

Manage schedules:

Coordinate and maintain calendars, schedule meetings, and manage conference room bookings.

Perform clerical tasks:

Handle data entry, filing, photocopying, scanning, and document preparation.

Manage supplies:

Monitor and order office supplies to ensure adequate stock.

Handle correspondence:

Respond to emails, sort and distribute mail, and assist with outgoing correspondence.

Assist other departments:

Provide support to other staff, such as HR and management, with tasks like scheduling interviews or preparing reports.

Coordinate logistics:

Make travel arrangements, book couriers, and assist with other logistics as needed.
