Summary
As the first point of contact at KAYALI's head office, the Receptionist plays a vital role in creating a welcoming, polished, and professional environment. You will represent the brand with warmth and efficiency, ensuring a seamless front-of-house experience for all guests, clients, and internal teams.
Essential Duties and Responsibilities
Greet visitors with a friendly, professional attitude and notify appropriate team members of their arrival.
Answer and direct incoming calls and emails in a timely and courteous manner.
Maintain the front desk, reception area, and meeting rooms in immaculate condition.
Manage meeting room bookings and set-up, ensuring AV and refreshments are arranged as needed.
Handle all incoming and outgoing mail, courier services, and packages (including coordination with DHL and other carriers).
Order and maintain stock of office supplies, stationery, and pantry essentials.
Liaise with HR and relevant departments to support onboarding for new joiners (e.g., desk setup, welcome kits, access cards).
Organize and coordinate monthly team lunches, birthday celebrations, and office events.
Track and maintain records of reception and office-related expenses, ensuring alignment with budget spendings.
Provide general administrative support such as data entry, document formatting, printing, and scheduling.
Assist with special projects and support the wider KAYALI team as required.
Manage the maintenance contracts
Requirements
Proven experience in a receptionist or front-of-house role, ideally in a luxury, fashion, beauty, or hospitality environment.
Excellent communication skills in English
Professional appearance and demeanor aligned with the KAYALI brand.
Strong organizational and multitasking abilities.
Tech-savvy with experience in Microsoft Office, Google Workspace, and phone systems.
Positive, proactive, and collaborative attitude with a strong sense of discretion.
Basic knowledge of expense tracking and working with budgets.
