Job Brief:

As our client is seeking a receptionist, it\'s important to note that this role often serves as the first point of contact for customers, whether they walk through the door or call the office. Apart from representing the company\'s culture, the candidate will also manage the front office and provide support for general administrative tasks, contributing to the smooth day-to-day functioning of the office.

Job Responsibilities:

- Greeting visitors

- Managing security and telecommunications systems

- Handling queries and complaints via phone, email and general correspondence

- Handle incoming phone calls, transfer calls to the appropriate personnel, and take messages when necessary.

- Offer general information to visitors and may assist with inquiries about the company\'s products, services, or location.

- Taking and ensuring messages are passed to the appropriate staff member on time

- Managing meeting room availability

- Receiving, sorting, distributing and dispatching daily mail

- Handling travel arrangements

- Coordinating internal and external events

- Managing office inventory such as stationery

- Overseeing office services like cleaners and maintenance service providers

- Maintaining safety and hygiene standards of the reception area

- Provide administrative support, such as data entry, filing, and document preparation.

- Provide excellent customer service.

- Schedule appointments for clients or visitors and maintain appointment calendars.

- Follow company policies and procedures and maintain confidentiality when necessary.

- Conforms with company policies, procedures, and contractual agreements. This includes Health and Safety, Compliance, Acceptable Use of IT, Anti-Bribery and Corruption, Data Protection, and Codes of Conduct to which the company commits.

Job Requirements:

- Bachelor\'s degree

- Excellent verbal and written communication skills are essential for interacting with visitors, clients, and colleagues

- Proficiency in handling phone calls, including answering, transferring, and taking messages with proper etiquette

- Nationality: Emirati / Emirian

- Female candidates who are based in Dubai or open to relocating to Dubai will only be considered for the role

- Work Environment: This position operates in a multi-cultural environment. The ideal candidate should be comfortable working collaboratively with colleagues of diverse backgrounds and be able to establish effective working relationships in such an environment

- Strong organizational skills to manage appointments, mail, and various administrative tasks

- Strong customer service skills, including the ability to remain courteous, patient, and helpful in all interactions.

- Active listener

- Adept at prioritizing, scheduling and multitasking

- Ability to handle office equipment (e.g., the telephone system, printer and the fax machine)

- Fast and eager learner
