We are seeking a highly organized and professional Receptionist to join our team. The ideal candidate will be the first point of contact for our clients and visitors, providing exceptional customer service while managing front desk operations. This role requires proficiency in various office management tasks, including handling multi-line phone systems, data entry, and calendar management. A bilingual candidate is preferred to enhance communication with our diverse clientele.
Responsibilities
Greet and welcome clients and visitors in a friendly and professional manner
Manage incoming calls through a multi-line phone system, directing calls as necessary
Perform data entry and maintain accurate records through filing and documentation
Assist with calendar management, scheduling appointments, and coordinating meetings
Provide administrative support to staff, including clerical tasks such as typing, proofreading, and filing
Utilize Microsoft Office and Google Workspace for various office tasks and communications
Handle customer inquiries and provide support to ensure a positive experience
Maintain an organized front desk area while ensuring all office supplies are stocked
Collaborate with team members to improve office efficiency and workflow
Experience
Proven experience in an office environment with clerical or administrative responsibilities
Familiarity with QuickBooks for basic bookkeeping tasks is a plus
Previous experience as a dental or medical receptionist is advantageous
Strong computer skills with proficiency in Microsoft Office Suite and Google Workspace
Excellent organizational skills with the ability to manage multiple tasks simultaneously
Effective time management skills to prioritize responsibilities efficiently
Bilingual abilities are highly desirable for effective communication with clients
Demonstrated customer service skills with a focus on providing support and assistance
