Immediate joining Looking for ladies\' staff No Transportation & Accommodation Qualification: Any degree 2 - 3 years of UAE experience Good communication skills in English Knowledge in Arabic. Duties :
  • Provide comprehensive administrative support to the Managing Director.
  • Manage and organize MD\'s calendar, appointments, and travel arrangements.
  • Serve as a primary point of contact between the MD and internal/external stakeholders.
  • Handle incoming calls, emails, and correspondence on behalf of the MD.
  • Coordinate and schedule meetings, including preparing agendas and collating relevant materials.
  • Arrange meeting rooms, catering, and any required technology or equipment.
  • Assist in preparing and editing documents, reports, presentations, and correspondence.
  • Maintain confidentiality and accuracy in handling sensitive information.
  • Oversee the day-to-day operations of the office, ensuring a smooth and efficient workflow.
  • Manage office supplies, equipment, and maintenance.
  • Plan and coordinate corporate events, workshops, and special projects.
  • Collaborate with internal teams and external vendors to ensure successful events.
  • Maintain organized and up-to-date records, including filing systems and databases.
  • Ensure compliance with document retention policies.
  • Arrange travel logistics for the MD, including flights, accommodations, and itineraries.
  • Reconcile travel expenses and prepare expense reports.
  • Provide administrative support for special projects initiated by the MD.
  • Collaborate with cross-functional teams to facilitate project milestones.
  • Implement and enforce company policies and procedures within the office.
  • Communicate policy updates to staff as directed by the MD.
  • Foster positive working relationships with colleagues and departments.
  • Facilitate effective communication and collaboration within the organization.
  • Handle confidential information with discretion and integrity.
  • Ensure sensitive materials are securely stored and accessed by authorized personnel only.
  • Utilize ERP Software efficiently for actively using, logging, and updating the ERP for all official activities.
  • Manage the front desk area, maintaining a neat and organized appearance.
  • Greet and welcome visitors with a positive and friendly demeanor. Ensure a warm and professional reception experience for all guests.
  • Coordinate with internal teams to ensure availability for scheduled appointments.
  • Receive and distribute incoming mail, packages, and deliveries. Notify staff members promptly of their incoming mail or parcels.
  • Provide basic administrative support, including photocopying, faxing, and filing.
  • Assist in maintaining office supplies and keeping inventory.
  • Monitor and control access to the office premises. Ensure that visitors sign in and follow security protocols.
  • Ensure the reception area reflects a professional and welcoming atmosphere. Report any maintenance or repair needs for the reception area.
  • Follow emergency procedures, including directing visitors during evacuations.
  • Report any security concerns or emergencies to the appropriate authorities.
  • Maintain a log of visitor information, including names, contact details, and purpose of visit.
  • Possess excellent verbal and written communication skills. Exhibit a polite and courteous attitude in all interactions.
Job Type: Full-time Salary: AED3,500.00 - AED4,000.00 per month Experience:
