Job Description

The Qode is currently looking for an energetic and dynamic Front Office Associate / Admin Assistant. Location will be in Dubai Design District (D3). Once you submit your CV, your qualifications will be reviewed and if selected for an interview, you will be contacted by a member of our recruiting team. As a Front Office Associate / Admin Assistant, you will be responsible for:

  • Provide administrative support to ensure efficient operation of office
  • Answer phone calls and transfer to the appropriate staff member
  • Receive and greet visitors
  • Carry out administrative duties such as filing, typing, copying, scanning etc.
  • Make travel arrangements for senior staff such as booking flights, cars, hotel or restaurant reservations when necessary
  • Provide support to the team as needed
  • Exhibits polite and professional communication via phone and e-mail
  • Provide information by answering questions and requests
  • Maintain supplies inventory by checking stocks to determine inventory level, anticipating needed supplies, placing and expediting orders for supplies
  • Coordinate and organize appointments and meetings
  • Assist with on-boarding of new employees
  • Company-wide committee facilitation and participation
  • Employee safety, welfare, wellness, and health reporting
  • Support in maintaining organization files
  • Assisting with the day-to-day efficient operation of the office
  • Coordinate messenger and courier service
  • Organize and ensure all local and international collections/deliveries are done on time
  • Maintain office filing and storage systems
  • Support in activities and company organized events as needed
  • Update and maintain databases such as mailing lists, contact lists and client information
  • Ensure office equipment is properly maintained and serviced
  • Contributes to team effort by accomplishing related results as needed
Required Education, Skills and Qualifications
  • With excellent computer (Microsoft Office) skills
  • Team player with a positive 'can do' attitude
  • Excellent judgment and creative problem solving skills
  • Must be self motivated and proactive, going above and beyond his call of duty
  • Possess an ability to work comfortably and efficiently in a collaborative setting
  • Strategic thinker with impeccable time management skills
  • Highly organized with the ability to juggle multiple priorities and work in a fast-paced environment
  • To have great attention to detail
  • To be bright, friendly and outgoing
