Job Summary
We are seeking a highly organized and detail-oriented
Property Administrative Officer
to support the daily operations of a diverse portfolio, including residential buildings, a business center, and land plots. The ideal candidate will act as the vital link between tenants, contractors, and the Property Manager to ensure seamless operations and high tenant satisfaction.
Key Responsibilities
1. Administrative & Portfolio Support
Maintain and update property records, contracts, and tenant files for all apartments, commercial units, and land assets.
Prepare tenancy contracts, renewals,
Ejari registrations
, and legal notices.
Manage all official correspondence (emails, calls, letters) in both
Arabic and English
.
Maintain safe custody of all property keys and original documents (Title Deeds, Affection Plans).
2. Tenant & Owner Coordination
Act as the primary point of contact for tenants regarding maintenance, payments, and inquiries.
Coordinate move-in/move-out processes and conduct property inspections.
Resolve tenant complaints efficiently, escalating to the Property Manager only when necessary for approval.
3. Maintenance & Operations
Receive maintenance requests and coordinate with contractors/service providers.
Obtain multiple quotations for repairs and present them to the Manager for sign-off.
Conduct regular site visits to properties in
Al Qusais
and vacant land plots to ensure security and upkeep.
4. Financial Tracking
Track rent collections and follow up on pending payments or bounced cheques.
Prepare basic reports on occupancy rates, lease renewals, and maintenance expenses.
Requirements & Qualifications
Experience:
3-5 years in UAE Property Administration or Real Estate.
Legal Knowledge:
Deep familiarity with
Ejari
, RERA regulations, and Dubai tenancy laws.
Languages:
Full professional fluency in Arabic and English
is a non-negotiable requirement.
Skills:
Proficient in Microsoft Office (Excel, Word, Outlook).
Driving:
Must possess a valid
UAE Driving License
.
