The Real Estate Admin provides comprehensive administrative support to the real estate office, ensuring efficient operation and excellent client service. This role involves managing day-to-day administrative tasks, coordinating property listings, maintaining client records, and assisting the real estate team with various tasks to enhance productivity and efficiency.
Key Responsibilities:
Administrative Support:
Perform general administrative duties including answering phones, managing emails, and scheduling appointments.
Prepare and manage correspondence, reports, and documents.
Maintain office supplies inventory and place orders when necessary.
Property Listings Management:
Create and update property listings on various platforms and ensure all information is accurate and up-to-date.
Coordinate with agents to gather necessary property details and photographs.
Monitor listing performance and make recommendations for improvements.
Client Relations:
Assist with client inquiries and provide information about available properties.
Schedule property viewings and follow up with clients.
Maintain and update client databases, ensuring all information is accurate and up-to-date.
Documentation and Record Keeping:
Prepare, proofread, and manage real estate documents such as contracts, agreements, and closing statements.
Ensure all files are organized and properly maintained both electronically and physically.
Assist in the preparation of regular reports as required by management.
Coordination and Support:
Coordinate with other departments, such as marketing, finance, and legal, to ensure smooth operations.
Assist in organizing and attending meetings, open houses, and other real estate events.
Provide support in property management tasks, including coordinating repairs and maintenance.
Compliance and Regulations:
Ensure compliance with local real estate regulations and company policies.
Keep abreast of changes in real estate laws and regulations affecting the business.
Qualifications:
Education:
High school diploma or equivalent; bachelor's degree in business administration, real estate, or related field preferred.
Experience:
Minimum of 2 years of administrative experience, preferably in the real estate industry.
Skills:
Strong organizational and multitasking skills.
Excellent written and verbal communication skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and real estate CRM/management software.
Attention to detail and ability to maintain accuracy in a fast-paced environment.
Customer service-oriented with a professional demeanor.
Ability to work independently and as part of a team.
Working Conditions:
Standard office environment with occasional travel to properties.
Flexibility to work extended hours, including weekends and evenings, if required.
