Job Summary:
We are seeking a resourceful and strategic Purchasing Manager with food and beverage experience to oversee the procurement of all supplies, ingredients, equipment, and services necessary for our daily operations. This role plays a key part in ensuring product availability, supplier quality, cost-efficiency, and timely delivery across our outlets. The ideal candidate will have a strong background in hospitality purchasing, excellent negotiation skills, and the ability to align procurement activities with our company's operational goals.
Key Responsibilities
1. Procurement Strategy & Sourcing
Develop and execute procurement strategies to support operational efficiency and cost control.
Identify, evaluate, and build relationships with reliable local and international suppliers.
Negotiate pricing, payment terms, and contracts to ensure value for money.
Ensure that procurement activities align with budgetary goals and quality standards.
2. Vendor & Supplier Management
Maintain strong supplier relationships through consistent communication and performance evaluations.
Monitor vendor performance to ensure compliance with service level agreements (SLAs) and product specifications.
Resolve supplier issues related to delivery delays, quality discrepancies, and invoicing.
3. Inventory Coordination
Coordinate with the inventory and operations teams to monitor stock levels and plan reorders accordingly.
Support just-in-time purchasing practices to minimize overstocking and waste.
Collaborate with the Cost Controller to track inventory turnover and optimize purchase quantities.
4. Compliance & Documentation
Ensure all purchases follow company policies and procedures, including food safety and hygiene regulations.
Maintain accurate records of purchase orders, delivery notes, contracts, and vendor data.
Assist in internal and external audits related to procurement and inventory controls.
5. Cross-Functional Collaboration
Work closely with Finance, Operations, and Culinary teams to forecast purchasing needs.
Provide support in menu planning and cost analysis by sourcing cost-effective ingredients and materials.
Contribute to sustainability initiatives by identifying eco-friendly and ethical sourcing options.
Qualifications & Skills:
Bachelor's degree in Supply Chain Management, Business Administration, or related field.
Minimum 5 years of proven experience as a Purchasing Manager or Procurement Officer, preferably in the food & beverage or hospitality industry.
Strong understanding of procurement best practices, food safety standards, and local/international supply chains.
Proficiency in Microsoft Excel and procurement software (e.g., ERP, inventory systems).
Excellent negotiation, communication, and vendor management skills.
Strong organizational abilities and attention to detail.
Ability to thrive in a fast-paced, deadline-driven environment.

Technical:
Strong command of procurement systems, inventory software, and Excel functions (VLOOKUP, pivot tables).

Capable of interpreting data to support sourcing and cost-control decisions.

Clear and persuasive communicator in dealing with vendors and internal teams.

Exceptional time management and ability to oversee multiple procurement cycles simultaneously.
