Job Title: Purchase Executive
Department: Procurement / Supply Chain
Reports To: Procurement Manager / Head of Supply Chain
Job Summary:
The Purchase Executive is responsible for procuring goods, materials, and services necessary for the organization's operations. This role focuses on securing high-quality products at competitive prices from reliable suppliers, ensuring timely delivery, and optimizing procurement processes to contribute to the company's profitability and operational efficiency.
Key Responsibilities:

  • Sourcing and Supplier Management:
  • Identify, evaluate, and select potential suppliers based on price, quality, service, and reliability.
  • Develop and maintain strong, long-term relationships with key suppliers.
  • Conduct supplier audits and performance reviews regularly.
  • Negotiate contracts, terms, and conditions with suppliers to achieve the best possible value.
  • Procurement Process:
  • Review and process purchase requisitions from various departments.
  • Prepare and issue Request for Quotations (RFQs), Request for Proposals (RFPs), and Purchase Orders (POs).
  • Compare and analyze supplier quotations and negotiate pricing and payment terms.
  • Ensure all procurement activities comply with company policies and procedures.
  • Inventory and Cost Control:
  • Monitor inventory levels and collaborate with the warehouse and planning departments to avoid stock-outs and overstocking.
  • Work to reduce procurement costs without compromising on quality or delivery timelines.
  • Analyze market trends and pricing to anticipate fluctuations and advise the management.
  • Logistics and Coordination:
  • Coordinate with suppliers and the logistics team to ensure on-time delivery of materials.
  • Follow up on order status and expedite deliveries as needed.
  • Resolve any issues related to delayed shipments, damaged goods, or incorrect orders.
  • Record Keeping and Reporting:
  • Maintain accurate and up-to-date records of purchases, pricing, and supplier information.
  • Prepare and present regular reports on procurement activities, cost savings, and supplier performance.
Qualifications and Skills:
  • Bachelor's degree in Business Administration, Supply Chain Management, Finance, or a related field.
  • Proven experience (3+ years) in a procurement or purchasing role.
  • Strong knowledge of sourcing and procurement techniques.
  • Excellent negotiation, networking, and supplier management skills.
  • Proficient in using procurement software and ERP systems (e.g., SAP, Oracle).
  • Solid analytical and financial skills to assess total cost of ownership.
  • High level of integrity and attention to detail.
  • Strong communication and interpersonal skills.
