The Purchase Executive is responsible for managing the procurement of medical supplies, consumables, equipment, and general materials required for the clinic's smooth operation. This includes vendor management, negotiation, inventory control, and ensuring timely delivery of quality materials in compliance with clinic standards and budget requirements.
Key Responsibilities:
1. Procurement & Purchasing:
Identify the clinic's purchasing needs based on departmental requests.
Source and procure medical consumables, instruments, dental/aesthetic materials, office supplies, and maintenance items.
Ensure all purchases comply with company policies and budget limits.
Obtain and evaluate quotations from multiple vendors to ensure best price and quality.
Prepare and process purchase orders, contracts, and LPOs (Local Purchase Orders).
2. Vendor Management:
Build and maintain strong relationships with suppliers and service providers.
Evaluate vendor performance in terms of pricing, quality, delivery, and service.
Negotiate favorable terms, pricing, and credit limits.
Maintain an updated vendor database.
3. Inventory & Stock Control:
Coordinate with the storekeeper to monitor stock levels and prevent shortages or overstocking.
Maintain minimum and maximum stock levels for critical items.
Conduct periodic stock audits and reconcile discrepancies.
4. Documentation & Compliance:
Maintain accurate records of all purchases, receipts, and supplier correspondence.
Ensure all procurement activities comply with DHA / MOH guidelines where applicable.
Support internal and external audits by providing purchase documentation.
5. Coordination & Support:
Collaborate with clinic departments (dental, aesthetic, medical, maintenance, admin) to understand specific material requirements.
Follow up on delayed deliveries and resolve supply chain issues promptly.
Coordinate with the finance team for supplier payments and invoice verifications.
Qualifications & Skills:
Bachelor's degree in Business Administration, Supply Chain Management, or related field.
Minimum 2-4 years of experience as a Purchase Executive, preferably in a
medical or healthcare facility
.
Strong knowledge of medical consumables, equipment, and vendor markets in the UAE.
Excellent negotiation, communication, and analytical skills.
Proficient in MS Office and inventory management software.
Detail-oriented, organized, and able to handle multiple priorities.
Key Performance Indicators (KPIs):
Procurement within approved budget limits.
On-time delivery rate of ordered materials.
Vendor satisfaction and performance score.
Reduction in purchase costs through effective negotiation.
Compliance rate with documentation and procurement policies.
Stock availability with minimum wastage or expiry losses.
