The Purchase Assistant in a pharmacy is responsible for supporting the procurement process of pharmaceutical products, medical supplies, and over-the-counter medications. The role involves ensuring the timely and cost-effective acquisition of stock while maintaining inventory levels in accordance with pharmacy needs. The Purchase Assistant will work closely with suppliers, internal departments, and inventory management teams to facilitate smooth operations.
Responsibilities:

  • Procurement Support:
o Assist in the procurement of pharmaceutical products, medical equipment, and consumables.
o Maintain an up-to-date list of suppliers and monitor their performance.
o Assist in managing stock levels to ensure adequate availability of pharmaceutical items.
o Ensure that orders are placed in a timely manner and follow up on any delays or issues with suppliers.
  • Inventory Management:
o Monitor and track inventory levels regularly to identify products in low supply and reorder them promptly.
o Assist in managing product shelf life and expiry dates to ensure stock rotation.
o Help with organizing and maintaining stock in the pharmacy's inventory system.
  • Supplier Relations:
o Develop and maintain professional relationships with suppliers, ensuring effective communication and timely deliveries.
o Liaise with suppliers for price negotiations and contract renewals.
o Address supplier issues, such as product discrepancies, shortages, or damaged goods.
  • Record Keeping and Documentation:
o Maintain accurate records of purchase orders, deliveries, and invoices.
o Assist in updating the pharmacy's procurement databases and systems.
o Ensure compliance with all regulatory and internal policies regarding the procurement of pharmaceutical goods.
  • Reporting:
o Prepare and submit regular reports on stock levels, procurement status, and supplier performance.
o Monitor purchasing budgets and assist in identifying opportunities for cost savings.
  • Regulatory Compliance:
o Ensure that all purchased items meet industry standards and regulatory requirements.
o Keep up to date with pharmaceutical laws, guidelines, and regulations that impact purchasing.
Qualifications:
  • Education:
o High School Diploma or equivalent; a degree in business, supply chain management, or pharmacy is a plus.
  • Experience:
o Previous experience in a purchasing or supply chain role, preferably in a pharmacy, healthcare, or retail environment.
o Familiarity with pharmaceutical products, medical supplies, or over-the-counter medications is beneficial.
  • Skills:
o Strong communication and interpersonal skills.
o Excellent organizational skills with attention to detail.
o Proficient in Microsoft Office (Word, Excel, Outlook) and experience with inventory management systems.
o Ability to handle multiple tasks in a fast-paced environment.
