Job Description

Job Summary



To manage, organize, and safeguard all family and business-related documents -- including legal papers, property records, financial files, and personal archives -- ensuring easy access, confidentiality, and accuracy at all times. The role supports the smooth operation of the family office through reliable documentation control and administrative coordination. To maintain accurate record of company licenses, IDs and related documents, expiry, renewal, amendment, etc.

The Administrator serves as the central point of coordination between agents, landlords, tenants, and management to support seamless business operations.

Key Responsibilities



1. Administrative & Operational Management

Maintain and organize all real estate documentation, including title deeds, tenancy contracts, Ejari registrations, and property management agreements. Manage and monitor our rented and owned properties and Coordinate with service providers. Visit Notary Public offices and Rental Dispute Centres to serve notices and handle tenancy disputes. Track document versions, updates, and renewals (e.g.,family visas, licenses, contracts, property leases, insurance, wills). Responsible for corporate secretarial work, including shareholder amendments, license renewals, Visa and Passport renewal. Manage Directors travelling itinerary, air ticket booking, hotel booking, Insurance, Mobile and internet bills payments and other related work.
2. Financial & Compliance Support

Coordinate rent collection, security deposits, and utility payments with the finance team. Verify invoices, issue receipts, and assist in reconciling accounts related to property transactions. Ensure compliance with Dubai Land Department (DLD), RERA, and other relevant authorities. Prepare and maintain accurate financial statements, including balance sheets, income statements, and cash flow reports. Manage banking, accounts payable and receivable, ensuring timely processing of invoices and payments. Preparing tax filings and ensure compliance with

Qualifications & Skills



Strong organizational and data management skills. Familiarity with UAE government systems (DLD, RERA, Ejari system, DED, ICA, Free Zone portals). Proficient in Microsoft Office (Word, Excel, Outlook) and file management tools (Google Drive, OneDrive, or similar). Excellent communication skills in English; Arabic or Hindi is an advantage. High level of integrity, discretion, and confidentiality. Stakeholder management skills
Salary: AED3,00.00 - AED4,000.00 per month
