Project Manager - Position Overview
The Project Manager is fully responsible for planning, executing, and completing all assigned interior design and fit-out projects within the agreed timelines, budget, and quality standards. The Project Manager holds full accountability to ensure that all parties involved--including internal departments, contractors, suppliers, and clients--fulfill their roles effectively. The Project Manager is the central authority and the single point of responsibility for the project's success. All matters related to project execution fall entirely under this role's responsibility.
Key ResponsibilitiesProject Planning and Initiation
Develop detailed project plans, schedules, and timelines covering all phases from mobilization to final handover
Coordinate with design, estimation, procurement, and finance departments to ensure smooth project initiation
Define roles, responsibilities, and deliverables for all project stakeholders
Execution and Delivery
Lead and oversee all site activities to ensure compliance with design intent, specifications, and quality standards
Manage and monitor contractors, suppliers, and labor teams to ensure on-time completion
Enforce health, safety, and environmental (HSE) standards on-site
Oversee procurement processes and ensure timely delivery of all required materials and equipment
Resolve conflicts, bottlenecks, or delays immediately to avoid project disruptions
Stakeholder Management
Act as the single point of accountability for clients, consultants, suppliers, and subcontractors
Maintain consistent communication with clients on project progress, risks, and action plans
Coordinate with internal teams to ensure alignment with project requirements
Ensure contractors and suppliers deliver according to contractual terms and timelines
Budget and Cost Control
Monitor and control project expenses to stay within the approved budget
Review and approve financial claims, invoices, and variation orders with the accounts department
Forecast project cash flow and manage any potential financial risks
Time Management
Prepare and update project schedules using tools such as Gantt charts, MS Project, or Primavera
Ensure all stakeholders adhere to deadlines and implement corrective actions for any delays
Hold suppliers and subcontractors accountable for missed timelines and apply recovery plans
Quality Assurance
Inspect and verify all site works to ensure compliance with company standards and client requirements
Implement quality control procedures at all stages of the project
Manage snag lists, testing, and commissioning before final handover
Reporting and Documentation
Prepare weekly and monthly progress reports for management and clients
Maintain full project documentation including drawings, approvals, meeting minutes, and change orders
Track project KPIs related to cost, time, and quality performance
Handover and Closeout
Ensure final project completion within contractual deadlines
Deliver all handover documentation including as-built drawings, warranties, and manuals
Conduct post-project evaluation to record lessons learned and performance insights
Required Skills and Competencies
Strong leadership and decision-making capabilities
Excellent communication and stakeholder management skills
Comprehensive knowledge of construction, fit-out materials, and project workflows
Proficiency in project management software such as MS Project, Primavera, and AutoCAD review
Strong problem-solving, risk management, and negotiation abilities
Qualifications
Bachelor's degree in Civil Engineering, Architecture, Interior Design, or a related field
Minimum of 5 years' experience in project management within the interior design, construction, or fit-out industry
PMP or equivalent project management certification is an added advantage
Reporting Structure
Reports directly to the CEO or Managing Director
Coordinates with Design Manager, Procurement Executive, Accounts, HR, Contractors, Suppliers, and Clients
Supervises Site Engineers, Site Supervisors, Subcontractors, and Labor Teams
