The Project Coordinator plays a pivotal support role to the Project Manager, ensuring smooth coordination, tracking, and execution of interior fit-out, joinery, and decoration projects from design through to handover. The role focuses on maintaining timelines, quality standards, documentation accuracy, and proactive communication with designers, production, procurement, site teams, clients, suppliers, and contractors -- delivering projects on time, within budget, and to the highest quality.
Key Responsibilities:
Initiation
Review contract, scope, and drawings with Project Manager.
Set up project folder structure (ERP + physical/shared drive).
Organize kick-off meeting with internal teams and client; prepare & circulate Minutes of Meeting (MoM) with action items.
Planning
Draft and refine Master Schedule (Gantt chart) incorporating inputs from all teams.
Identify required permits/approvals; prepare Compliance Checklist.
Schedule design milestone reviews with client.
Execution
Track daily deliverables (designs, material orders, production outputs, site progress).
Liaise with suppliers to confirm lead times and resolve delivery issues.
Monitor quality control checklists on shop floor and site.
Identify and report scope changes; prepare Change Order (CO) forms with cost/schedule impact for PM approval.
Monitoring & Controlling
Perform weekly actual vs. planned schedule reconciliation.
Track financial commitments against budget; flag variances early.
Maintain live Risk Log, Issue Log, and Client Approval Tracker.
Log Non-Conformance Reports (NCRs) and follow up on corrective actions.
Closing
Compile complete project documentation package (including signed handover).
Ensure final snag list closure and inspection report completion.
Prepare final budget & variance report.
Facilitate lessons-learned session and document improvement recommendations.
