Position:
Project Coordinator Function: Project Services Business Unit: WaterParks Reports to: Project Management Location: Arenco Tower, Dubai, UAE
Purpose:

Responsible for the active management of projects within established schedules & budgets, typically from sale through design engineering, Document controls, procurement, installation, certification, closing out documentation and settlement of final accounts. This will be 50% of the daily responsibilities. The remaining 50% of the position will be responsible for assisting project managers and senior project managers in the administration of all project-related administrative tasks. The percentage may vary at times, depending on the workload of the Project Services group.
Essential Responsibilities:
  • Supporting the work group with administrative / assistance
  • Managing and overseeing projects concurrently with a focus on maximizing margin and revenue enhancement and minimizing warranty claims through effective quality control and on-time delivery
  • Projects will vary in size from approximately $5,000-$20,000,000.00 in value.
  • Preparing, analyzing, reviewing and managing the execution of project paperwork, including project schedules, budgets, invoices, applications for payment, change orders, cost reports, cash flow projects
  • Reviewing shipping documentation with the logistics team
  • Project close-out reports and other paperwork necessary to manage and document projects through their lifespan.
  • Managing all procurement activities, such as reviewing purchase orders, approving vendor invoices, ensuring vendors timely payment
  • Managing timely collection of revenue from clients
  • Monitoring/managing the installation progress of field supervisors\' activities on the project job site
  • Assisting the Project Manager in liaising between the Project Manager, Whitewater Engineering, and the Client.

  • Ensuring that all company project policies and KPIs are maintained.
  • Updating the Project Management and MEI Management team on project variances from established schedules and budgets in a timely fashion
  • Developing a well-rounded knowledge of products and installation requirements
  • Setting up and maintaining all project records in the project binder and digitally
  • Completing project paperwork and liaising with various departments (engineering, shipping, manufacturing, etc.)
  • Assisting project managers and senior project managers with administration of the above tasks on other projects as required
  • Usage of non-compliance reporting(NCR/opportunity for improvement(OFI) procedures
  • Contributes to a culture of development/sustenance of Continuous Improvement and Lean philosophies
  • Flexibility in Working hours while working with Vancouver Headquarters (Evenings)

Qualifications and Experience:
  • College & Project Management training preferred
  • 1-2 years of experience in a technical role or has been involved in a Management role
  • Document Control experience is essential, and in an engineering or architectural firm, is desirable (Aconex, EDMS, etc.)
  • Previous experience with shipping documentation would be an asset
  • Complete understanding of Microsoft Office (Word, Excel, Outlook, PowerPoint, Project Pro, etc.) required
  • Previous experience with the use of SharePoint is an asset.
