About the Position
IN & OUT is seeking a highly organized and proactive Project Coordinator to support the Project Manager in managing, following up, and coordinating multiple advertising and fit-out projects from initiation to final handover.
The ideal candidate must be detail-oriented, fast in execution, and able to coordinate between design, production, purchasing, and site teams with strong communication skills.
Key Responsibilities
1. Project Coordination & Follow-Up
Follow up on all ongoing projects from start to finish.
Track project milestones, deadlines, progress, and deliverables.
Maintain up-to-date project files and documentation.
Ensure all team members are aligned with the project schedule.
2. Communication & Reporting
Prepare and submit daily and weekly progress reports to the Project Manager.
Coordinate with clients for updates, clarifications, and approvals.
Follow up with suppliers, subcontractors, and internal teams.
Prepare site visit reports, installation reports, and closing reports.
3. Technical & Administration Support
Assist in preparing BOQ, material lists, and project documents.
Coordinate with the design team (2D / Digital / 3D) to ensure timely submission of drawings.
Assist in preparing shop drawings and documentation required for production.
Support in scheduling installation crews and site logistics.
4. Production & Workshop Coordination
Communicate job orders to the workshop and follow up on production progress.
Ensure materials, files, and instructions are delivered to the production team on time.
Track daily output and ensure quality and delivery deadlines are met.
5. Purchasing & Material Follow-Up
Prepare material request lists (MRF) for each project.
Follow up with the purchasing officer to ensure on-time delivery.
Verify delivered materials against project requirements.
6. Site Coordination
Conduct regular site inspections.
Ensure installation teams follow project drawings and specifications.
Report any issues, delays, or technical conflicts immediately.
Confirm completion of tasks and prepare completion notes for handover.
7. Workflow & Internal Coordination
Maintain the internal workflow between:
Project Manager ? Designers ? Workshop ? Purchasing ? Site
Follow up on daily tasks with all departments.
Ensure all departments meet project timelines.

Qualifications
Minimum 2-4 years experience in project coordination (Fit-Out / Advertising preferred).
Strong understanding of design workflow and production processes.
Ability to read technical drawings (2D/3D/CNC files is a plus).
Excellent communication and reporting skills.
Very strong organizational and multitasking abilities.
Proficient in MS Office, Google Drive, and project tracking tools.
Valid UAE experience is highly preferred.
Ability to work under pressure and handle multiple projects simultaneously.
