The Project Coordinator is responsible for supporting the Project Manager in planning, executing, and finalizing projects according to strict deadlines, budget, and quality standards. This includes coordinating resources, managing documentation, communicating with stakeholders, and ensuring compliance with contractual and regulatory requirements.
Key Responsibilities1. Project Coordination & Support
Assist Project Managers in day-to-day project operations and administration.
Prepare, maintain, and update project schedules, progress reports, and meeting minutes.
Coordinate between internal teams (Engineering, Procurement, Site) to ensure timely completion of tasks.
Follow up on material submittals, approvals, and deliveries to align with the project schedule.
2. Documentation & Reporting
Maintain accurate project documentation, including drawings, specifications, BOQs, RFIs, NCRs, and variation orders.
Track correspondence between the client, consultant, subcontractors, and suppliers.
Prepare weekly and monthly project status reports for management.
3. Communication & Liaison
Act as a point of contact for all project stakeholders, ensuring clear and timely communication.
Schedule and coordinate project meetings, prepare agendas, and distribute meeting minutes.
Follow up on action points from meetings and ensure they are completed.
4. Quality, Safety & Compliance
Ensure that all works comply with company policies, project specifications, and HSE regulations.
Support the site team in preparing quality control documents and inspection requests.
5. Administrative Support
Assist in preparing invoices, payment certificates, and variation claims.
Monitor and report on project expenditures against budget.
Qualifications & Requirements
Education:
Bachelor's degree in Civil / Mechanical / Electrical Engineering, Architecture, or a related field.
Experience:
2-5 years of experience in project coordination, preferably in the construction/fit-out industry.
Skills:
Strong organizational and time management skills.
Excellent communication and interpersonal skills.
Proficiency in MS Office, MS Project/Primavera, and AutoCAD (preferred).
Ability to read and understand technical drawings and specifications.
Attention to detail and problem-solving skills.
