Job description: Project/Service Coordinator responsibilities include working closely with the respective Project/Service Manager to prepare comprehensive action plans, including resources, timeframes and budgets for projects. Project/Service will perform various coordinating tasks, like schedule and risk management, along with administrative duties, like maintaining project documentation and handling financial queries. Project / Service should have excellent time management and communication skills, as well collaborate with clients and internal teams to deliver results on deadlines and to ensure all projects are completed on time, within budget and meet high quality standards. Responsibilities:
Coordinate project management activities, resources, equipment and information. ? Break projects into doable actions and set timeframes.
Assign tasks to internal teams and assist with schedule management.
Analyze risks and opportunities for executed work.
Oversee project procurement management and ensure the material was delivered as per the time plan.
Monitor project progress and handle any issues that arise and report it to the project manager.
Act as the point of contact and communicate project status to all participants.
Use tools to monitor working hours, plans and expenditures
Create and maintain comprehensive project documentation, plans and reports.
Ensure standards and requirements are met through conducting quality assurance tests.
Registration of enquiry in enquiry log register & updating it regularly.
Communicating the new enquiries with sales & estimation team.
Preparation of JOB card / Sales Order & communication with respective site/ Project team.
Preparation & Processing of Material Request (MRV) and Purchase Request (PR).
Follow up for supplier PO & arrangements of stock materials.
Processing / Arrangements of petty cash for consumables / items (if any).
Arrangements of tools / equipment for work completion.
Communication and coordination with project team & client.
Coordination for work / Job completion & reports.
Review & Filling of work / Job completion reports.
Submission of work completion report to respective salesperson and accounts.
Preparation of completed jobs list and submission for invoicing.
Preparation of pending jobs list and plan for its completion.
Preparation of material submittals, method statements and Risk Assessment.
Preparation of Annual PPM plan for AMC contracts and updating completed PPM sites on a daily basis.
Preparation of AMC contracts and their submission.
Preparation of Quotation & its submission.
Preparation & Submission of support documents for Tenders.
Monitoring & Planning of Technical Team Annual Leave Plans. Requirements and skills:
Proven work experience as a Coordinator or similar role
Experience in project management, from conception to delivery
An ability to prepare and interpret flowcharts, schedules and step-by-step action plans
Solid organizational skills, including multitasking and time-management
Strong client-facing and teamwork skills
Familiarity with risk management and quality assurance control
Strong working knowledge of Microsoft office, Microsoft Project and Microsoft Planner.
B.E/B.Tech (Mechanical/Electrical) engineering or Business Administration or any related field.
