The ideal candidate will ensure smooth execution of projects by managing communication, maintaining accurate documentation, and providing critical support to both internal teams and external partners, including vendors and suppliers.
Key Responsibilities:Administrative Duties:
Maintain office records, filing systems, and project documentation.
Manage office communications including calls, emails, and document flow.
Handle general administrative tasks, including office supplies and logistics.
Project Coordination:
Assist in planning and tracking project schedules, deliverables, and timelines.
Coordinate across departments and with clients to facilitate smooth project flow.
Maintain and update project reports, logs, and databases.
Vendor & Supplier Coordination, Estimation:
Source and communicate with vendors and suppliers for materials and services.
Request quotations, compare prices, and assist in negotiation and final selection.
Monitor deliveries and resolve supply chain or quality issues promptly.
Prepare cost estimates for materials, labor, and services based on project requirements.
Assist in preparing LPOs and coordinating with the finance team for invoicing and payments.
Financial & Procurement Support:
Track project expenses and help monitor budget adherence.
Liaise with the finance team for invoice verification and payment follow-up.
Requirements:
Bachelor's degree in Business Administration or a related field.
Minimum 2 years of experience in administrative or coordination roles.
Strong organizational and time-management skills.
Excellent verbal and written communication abilities.
Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
Ability to manage multiple priorities in a fast-paced environment.
Preferred Qualifications:
