Role Overview





Supporting the Project Manager and the wider Project Management Team (PMT) in the delivery of Phase 1 and Phase 2 of the Project. Responsible for providing administrative, logistical, coordination, and document-management support to ensure efficient, well-organised project execution. Oversees proper use of the project's document management system (ACC), including document control, distribution, compliance with standards, and tracking of supplier and contractor submissions. Acts as a key enabler for communication, scheduling, reporting, and project governance.



Key responsibilities



1. Project administration and coordination


Support day-to-day administrative needs of the Project Manager and PMT.

Organise and coordinate meetings, workshops, and site events.

Manage calendars, meeting invitations, agendas, and minutes.

Support project logistics such as travel arrangements, access requests, onboarding of contractors, and coordination with site support functions.


2. Document management and ACC oversight


Oversee the operation and data quality of the project document management system (Autodesk Construction Cloud - ACC).

Ensure all engineering, construction, supplier, and contractor documents are uploaded, named, stored, and versioned correctly according to project standards.

Track incoming/outgoing documents, ensuring timely distribution to relevant stakeholders.

Support document transmittals, submittal tracking, reviewer assignments, and approval workflows.

Verify that supplier and contractor documentation meets metadata requirements and is stored in correct project folders.

Maintain registers for design documents, RFIs, NCRs, submittals, and meeting records.

Coordinate with the Engineering Function and discipline managers to ensure all technical deliverables follow controlled document processes.


3. Communication and stakeholder support


Facilitate communication between internal teams, external partners, contractors, and Verne Global stakeholders.

Assist in preparing correspondence, presentations, dashboards, and weekly/monthly reporting materials.

Ensure timely dissemination of project information, updates, and decisions across teams.

Maintain project mailing lists, distribution groups, and structured communication channels.


4. Scheduling and project controls support


Support the Project Manager in maintaining schedules, follow-up actions, and milestone tracking.

Help track progress against deadlines and escalate risks of delay.

Assist in organising progress meetings, steering groups, and discipline coordination meetings.

Maintain action logs, decision registers, and meeting minutes with clear follow-ups.


5. Budget, finance, and procurement assistance


Assist in tracking project budgets, purchase orders, invoices, and variations.

Support alignment with procurement processes and documentation requirements.

Maintain financial tracking sheets and provide updated information to the Project Manager and finance team.

Help monitor deliverables and timelines associated with vendor and contractor contracts.


6. Quality, safety, and compliance support


Support the Mechanical and Electrical Managers by ensuring safety documentation, audits, and toolbox talks are recorded and filed correctly.

Maintain registers for inductions, training sessions, safety reports, and compliance documentation.

Ensure project correspondence, approvals, and statutory documents are properly archived.

Assist in preparing materials required for audits, inspections, and governance reviews.


7. Reporting (weekly and monthly)


Compile inputs for weekly and monthly project reports (progress, documentation status, risks, upcoming milestones, KPIs).

Maintain dashboards and reporting templates used by the PMT.

Ensure reporting deadlines are met and data accuracy is maintained across all sources.


8. General project support


Assist all discipline managers (Engineering, Mechanical, Electrical) with administrative and coordination tasks.

Maintain daily site logs when required and support project record-keeping.

Act as a consistent on-site point of coordination for contractors, suppliers, and visitors.
