Key Responsibilities
Coordinate all
scenic department logistics
, schedules, and documentation between design, fabrication, and site teams.
Track
fabrication progress
, QA/QC milestones, and delivery schedules from multiple vendors (local and international).
Ensure updates are accurate and shared with production management and creative leads.
Liaise with
technical, rigging, automation, and lighting departments
to ensure scenic compatibility and integration.
Assist with
shipping and customs coordination
, working closely with freight forwarders and logistics partners.
Oversee the flow of
technical drawings and revisions
, ensuring current versions are distributed to all relevant stakeholders.
Support
budget tracking
by reconciling vendor quotes, invoices, and scope changes under supervision of the Production Manager.
Manage
on-site scenic coordination
, including load-in/out schedules, work permits, and contractor access.
Prepare and circulate
daily scenic reports
during build and install phases.
Qualifications & Experience
Minimum
5+ years' experience
in scenic or technical production coordination for live events, theatre, exhibitions, or themed entertainment.
Strong working knowledge of
scenic fabrication methods
, materials, and finishes.
Familiarity with
AutoCAD
,
Vectorworks
, or similar CAD-based file systems for reading and referencing drawings.
Proven experience coordinating with
international vendors and shipping logistics
.
Excellent documentation and version control habits.
Proficiency in
Excel
,
Smartsheet
, or similar tracking software.
Strong communication skills, with the ability to collaborate across creative and technical departments.
English fluency required; additional language skills an advantage.
