Procurement Officer encompasses a wide range of activities and responsibilities centred around acquiring goods, services, and works for an organization in a timely, cost-effective, and efficient manner.
RESPONSIBILITY
1. Strategic Sourcing
Identifying and evaluating potential suppliers.
Conducting market research to stay updated on product availability, trends, and pricing.
Developing and implementing sourcing strategies.
2. Purchasing Activities
Managing the end-to-end procurement process: requisition, sourcing, quotation, evaluation, and purchase order creation.
Ensuring timely procurement to meet project or operational deadlines.
Handling both local and international purchases.
3. Contract Management
Drafting, reviewing, and negotiating procurement contracts and agreements.
Ensuring compliance with terms and conditions.
Monitoring contract performance and expiry.
4. Vendor Management
Maintaining supplier databases and records.
Evaluating and managing supplier performance based on quality, delivery, pricing, and reliability.
Building strong supplier relationships to ensure continuous supply and resolve disputes.
5. Cost Management
Conducting cost-benefit analysis and assessing supplier performance to optimize procurement decisions.
Analysing procurement spending and identifying cost-saving opportunities.
Implementing value-for-money strategies without compromising on quality.
Participating in budgeting and forecasting.
6. Compliance and Risk Management
Ensuring all procurement activities follow organizational policies, laws, and ethical standards.
Managing procurement risks, including supplier risks, price volatility, and regulatory changes.
Supporting audits and maintaining procurement documentation.
7. Inventory and Logistics Coordination
Coordinating with inventory and warehouse teams to align procurement with stock levels.
Ensuring timely delivery and proper receipt of goods.
Managing returns or replacements for damaged or non-conforming goods.
8. Reporting and Analysis
Preparing regular procurement reports for management review.
Analysing procurement data to improve decision-making and supplier performance.
Contributing to procurement KPIs and performance metrics.
9. Market Research:
Staying updated on market trends, supply chain innovations, and industry best practices to improve the company's procurement processes.
