The Procurement Officer will be responsible for sourcing, negotiating, and purchasing materials, spare parts, services, and equipment required for smooth operations of the company. This role ensures timely supply, cost efficiency, supplier compliance, and adherence to company procurement policies.
2. Key Responsibilities:
A. Procurement & Sourcing
Identify reliable suppliers locally and internationally.
Request, review, and compare quotations (RFQs).
Evaluate price, delivery terms, and product specifications.
Conduct cost analysis and negotiation to secure the best prices.
Maintain an updated- supplier list and database.
B. Purchase Order Management
Prepare purchase orders in ERP.
Ensure correct coding, approvals, and documentation.
Follow up with suppliers to confirm order status and delivery time.
Track shipments and coordinate customs clearance (if applicable).
C. Inventory & Material Support
Coordinate with the storekeeper for stock levels and replenishments.
Monitor minimum/maximum stock levels for critical items.
Ensure accuracy of received items vs. PO and delivery notes.
D. Vendor Management
Build long-term relationships with key suppliers.
Evaluate vendor performance regularly (price, quality, delivery).
Obtain credit terms, warranty certificates, or service agreements when required.
E. Compliance & Documentation
Ensure all purchases follow company policies and the approval matrix.
Prepare weekly and monthly procurement reports.
Maintain proper filing of POs, invoices, and delivery documentation.
Coordinate with Finance to ensure timely payment processing.
F. Cross-Department Coordination
Work closely with Production, Distribution, Maintenance, and HR to understand requirements.
Support urgent purchases and critical spare parts for machines.
3. Qualifications
Bachelor's degree in Business Administration, Supply Chain, or related field.
Minimum 2-3 years procurement experience (FMCG or manufacturing preferred).
Strong negotiation and communication skills.
Experience with ERP systems (Adler preferred).
Good knowledge of Qatar market, suppliers, and logistics.
Proficiency in MS Office (Excel, Word).
Valid Qatar driving license is a must.
