Job Description
We are looking for a Procurement Assistant to be part of our growing procurement team. The Procurement Assistant will work closely with the creative team in order to support with all procurement activities and suppliers related to product development, installations and special events. Candidates for this position should have experience in the United Arab Emirates, working for interior design/ fit-out companies, events management companies, or similar. They must be familiar with technicalities and materials required for creating various structure (wood, steel, foam, carton, etc.). The candidates must also have relationships with vendors to build structures, purchase props as well as produce new products according to the designs provided by the creative team. :

- Work closely with the Creative and Events Departments and be their main point of contact within the procurement team
- Based on the brief and designs provided by the creative or events team, the Procurement Assistant is responsible for sourcing and negotiating with suppliers for:New products and limited edition items

- Source suppliers and negotiate the best prices, ensuring premium quality that is in line with the brand guidelines
- Oversee each project from start to finish. This includes: receiving and reviewing quotations, shortlisting suppliers, requesting samples, providing feedback and finalizing samples, coordinating deliveries internally and with the suppliers, up until full project completion
- Communicate project updates and developments with line manager and project lead regularly
- Ensure all procurement is within the relevant project\xe2\x80\x99s budget and coordinate payments with the accounts team
- Track all items on the project plan and ensure that the plan is updated regularly
- Evaluate spending while seeking ways to improve and enhance the quality of products purchased and the timeliness of deliveries
- Ensure adherence to requirements for competitive procurement (quotation requirements)
- Follow up on feedback and approvals required for each project
- Follow up with suppliers and arrange regular visits during production to ensure that they are on the right track and following the brief and that the quality is in line with company standards
- Interact with suppliers on a daily basis to resolve any issues from an early stage
- Oversee and update preferred vendor list
- Oversee that all procurement transactions related to the project are completed with the correct and necessary documentation
- Continuously research alternative solutions for materials, especially where there are more environmentally friendly options available
- Conduct research related to new products based on the brief provided by the creative team
- Perform any other relevant tasks that maybe directed/ assigned by the line manager and/or the company management.
- Minimum 5 years\xe2\x80\x99 experience in the United Arab Emirates with an interior fit-out company, events company, or a similar sector
- Familiar with technicalities and various materials for creating structures and producing new products as required
- Existing relationships with relevant suppliers
- Good communication skills in English: written and verbal
- Good computer skills and proficiency using Microsoft Office tools (word, Excel, Outlook, etc.)
- Basic accounting knowledge
- Car and a valid UAE driving license
