Manage visa renewals, PRO services, license renewals, and coordinate with relevant government departments efficiently.
Handle labor inspections, complaints, and ensure compliance by preparing documentation and advising staff accordingly.
Support Emiratization initiatives through coordination of meetings, onboarding, and related documentation with stakeholders.
Liaise and coordinate with legal consultants on all government-related inquiries and correspondence.
Process and issue NOCs for consulate services, visas, and government department requirements for staff.
Administrative Management:
Oversee rental contracts including renewals, cancellations, maintenance, document verification, and coordination with real estate agencies.
Manage telecom services: update portals, handle ticketing, issue new numbers, and process cancellations.
Coordinate utility connections/disconnections, schedule maintenance, monitor bills, and verify payments.
Manage day-to-day facility coordination: maintenance, parking, repairs, plumbing, and security-related issues.
Address daily staff needs, complaints, and queries via email, phone, and face-to-face interactions.
Monitor Document storage logistics including move-ins, move-outs, and disposals.
Manage vendor contracts for office maintenance, lease cars, and rent-a-car services.
Coordinate office events, staff sports activities, including registration, payments, and team management.
Assist and supervise the admin team with job allocation, reporting, and inter-department coordination.
Prepare regular reports as advised by headquarters and management.
Information Technology (IT) Responsibilities:
Manage IT infrastructure including hardware, software, networks, and telecommunications systems.
Provide technical support for staff computer systems, troubleshoot issues, and coordinate with external IT service providers.
Handle IT procurement, installations, upgrades, and maintenance.
Implement and maintain data backup, security protocols, and cybersecurity measures.
Train staff on IT systems, software updates, and usage policies.
Ensure compliance with IT policies and work to improve overall technological efficiency.
Experience:
Minimum 5-7 years of combined experience in PRO, administrative, and IT roles preferably in Dubai or UAE.
Hands-on experience working with Dubai Now Portal, MOHRE Portal, DNRD, GDRFA, Dubai Police eservices, and DEWA Online Services.
Qualifications:
Bachelor's or Master's degree in any discipline.
Proficient in Microsoft Office applications (Excel, PowerPoint, etc.) and IT system management.
Strong verbal and written communication skills in English and Arabic.
Valid UAE driving license.
Positive attitude, self-motivated, creative, and a team player.
Requirements:
