Job Title: Administrative Officer (Graduate Programs)
Department/ College: College of Business Administration
Grade: 7 The following statements are intended to describe the general nature and level of work being performed. They are not intended to be construed as an exhaustive list of all responsibilities, duties, and skills required of personnel so qualified. SUMMARY OF FUNCTIONS: The Administrative Officer (AO) deals with admissions, registration, financial and related support matters that concern CBA's prospective and current graduate students, in particular doctoral students. The AO is a key liaison between CBA graduate programs and other AU units and is rresponsible for the daily management, correspondence, secretarial matters in the CBA Office of Graduate Programs. ESSENTIAL DUTIES & RESPONSIBILITIES:

  • Serve as gatekeeper for CBA graduate programs: Screen incoming mail and telephone calls and use discretion to respond or redirect incoming communication as appropriate.
  • Help in the daily and smooth running of the Office of Graduate Programs.
  • Provide basic academic support services to the CBA graduate program coordinators and teaching faculty.
  • Help in arranging and participating in meetings of the Graduate Programs Committee and other graduate programs units including preparing agenda and taking meeting minutes.
  • Compose program-related reports and correspondence as directed by the Office of the CBA Dean or Graduate Program Coordinators.
  • Maintain up-to-date contact lists of graduate program students and alumni.
  • Assist the MBA program coordinator to identify students eligible to take remedial courses and follow up the students' registrations for these courses.
  • Assist in the Office of the CBA dean with tasks as assigned to aid in the accomplishment of the CBA mission.
  • Performs other tasks mandated by CBA Dean
SUPERVISION: Report to: CBA Dean
Subordinates: N/A EDUCATION:
Master Degree in a Business or related area with 2 years of experience in the office administration space. KNOWLEDGE & SKILLS:
  • Must have an understanding of tasks related to office administration/management.
  • Must be able to maintain professional discretion and confidentiality.
  • Must possess advanced knowledge of computer technology.
  • Must possess excellent oral and written communications skills.
WORKING CONDITIONS:
  • Work is normally performed in a typical interior/office work environment.
  • Limited physical effort required.
  • No/Limited exposure to physical risk.
