University of Doha for Science and Technology \xe2\x80\x93 Planning and Utilization Specialist - Profile: The Facilities Management Directorate unit invites applications for the position Planning and Utilization Specialist. Reporting to the Head, Facility maintenance and operations, the successful candidate will plan, direct, coordinate, and administer the work involved to ensure that the space and facilities of the UDST are effectively and economically utilized. Duties & Responsibilities: The successful candidate will support the occupancy planning team mission to maintain an up-to-date and accurate space and occupancy database and conduct a wide range of research or analytical studies dealing with the utilization of space and facilities and use the results of these studies to develop campus policy with regard to the utilization of space and facilities. The successful candidate will develop and refine space tracking policies and procedures to enhance the overall quality of occupancy data utilized for reporting and space utilization strategy and manage the book of record for the space in campus database to have accurate space inventory including rental charges and booking coordination, ensure the Space inventory in the database uploaded as and when required. The successful candidate will Coordinate with academic scheduling team for the space assignments, maintain the record of the active and inactive rooms and ensure there is no conflict in assigned schedules for maintenance, identify long-range and short-range objectives related to space and facility\xe2\x80\x99s needs. The successful candidate will monitor space moves / adds / changes to ensure proper space allocation and adherence to space standards, participate in the production of quarterly billing reports and floor plan books and provide a basis for developing new or revised existing space and facilities utilization standards and will coordinate with business unit client service leaders to compile floor survey audit data to verify personnel and architectural changes as required. The successful candidate will follow-up with project managers and architects to implement architectural changes in the AutoCAD drawing files, develop and refine the space and facilities data file which consists of the data pertaining to all assignable areas of instructional and auxiliary space and/or facilities and handle the planning, allocating and utilizing space and facilities and contribute toward analyzing and preparing budget. The successful candidate will calculate cost per head/seat breaks the fixed lease down to a granular figure that helps FMs understand the cost of housing employees within available space. This data helps project the cost of facility growth, model productivity of a workspace, and highlight inefficiencies in particular desking arrangements. It also acts as an essential utilization metric for quantifying the workplace, develop new or revised reporting instructions to eliminate or reduce common errors in space change proposals identified through in-depth analyses. The successful candidate will report data anomalies observed during floor walkthrough and/or during quality assurance exercises to the Facilities Client Service Leader for clarification/resolution and serve as liaison and coordinator between administrative staff members of the campus, representatives of the President\xe2\x80\x99s Office, and representatives of outside agencies on questions and problems related to the utilization of space and facilities. Qualifications
Bachelors in Architectural/Electrical/Mechanical Engineering is required IT certification in relevant field (e.g. AutoCAD, MS Project, 3Ds Max, photoshop etc..)
Experience:
Minimum 5 years of relevant experience in similar field
Language: Fluency in written and spoken English is required Fluency in written and spoken Arabic is preferred
Other Required Skills:
Ambitious and self-motivated team player with a high standard of professional integrity. A proactive can-do attitude to work and good time management is essential. The candidate should have the ability to anticipate change and effectively manage quality and risk at all times. Knowledge of Facilities Management and Health, Safety and Environment. A commitment to effective working relationships across all levels of the organizations is required. Candidate should demonstrate exemplary communication and interpersonal skills.
