Job Description

We are seeking a highly organized, detail-oriented, and proactive

Personal Secretary

to support senior management with administrative, scheduling, and communication tasks. The ideal candidate will manage daily schedules, coordinate meetings, handle correspondence, and maintain confidentiality in all aspects of the role.

Key Responsibilities:



Manage the executive's calendar, schedule appointments, and coordinate meetings. Screen and direct incoming calls, emails, and other communications. Prepare and organize documents, reports, and presentations. Maintain accurate records, filing systems, and contact databases. Make travel arrangements including flights, accommodations, and itineraries. Handle confidential information with integrity and discretion. Act as a liaison between the executive and internal/external stakeholders. Take minutes at meetings and follow up on action points. Perform general administrative duties such as filing, photocopying, and managing office supplies. Assist with personal errands or tasks as required (if applicable).

Requirements:



Proven experience as a Personal Secretary, Executive Assistant, or similar role. Excellent organizational and time management skills. Strong verbal and written communication skills. Proficiency in MS Office (Word, Excel, Outlook, PowerPoint) and other office tools. Ability to multitask and prioritize tasks effectively. High level of discretion and confidentiality. Attention to detail and problem-solving skills. High school diploma required; additional qualifications in office administration or secretarial studies are a plus.
