Job Title: Personal Assistant to the CEO Overview: As the Personal Assistant to the CEO, you will play a pivotal role in supporting the Chief Executive Officer in managing day-to-day activities and ensuring the smooth operation of the executive office. This role demands exceptional communication skills, proficiency in Office Suite, a basic understanding of accounting principles, and the ability to interact effectively with senior leaders in the education sector. Responsibilities: 1. Calendar Management:
Efficiently manage the CEO\'s calendar schedule appointments, meetings, and events.
Prioritize and coordinate appointments, ensuring optimal use of the CEO\'s time.
2. Communication:
Serve as the primary point of contact for the CEO, screening and managing communication.
Draft and edit emails, letters, and other correspondence on behalf of the
CEO.
Facilitate seamless communication between the CEO and internal/external stakeholders.
3. Office Management:
Maintain an organized and efficient office environment.
Coordinate travel arrangements, accommodations, and itineraries for business trips.
Handle incoming calls, inquiries, and requests, directing them appropriately.
4. Document Preparation and Management:
Prepare reports, presentations, and other documents as required.
Organize and maintain files, both electronic and physical, ensuring easy retrieval of information.
5. Accounting Support:
Assist in basic accounting tasks such as expense tracking, budget monitoring, and invoice processing.
Collaborate with the finance team to ensure accurate financial record- keeping.
6. Meeting Coordination:
Plan, coordinate, and execute meetings, including arranging agendas, taking minutes, and following up on action items.
Ensure necessary materials and information are prepared for meetings in advance.
7. Senior Leadership Interaction:
Liaise with senior leaders in the education space, representing the CEO when necessary.
Build and maintain positive relationships with key stakeholders.
8. Confidentiality:
Handle sensitive information with discretion and maintain a high level of confidentiality.
Qualifications: 1. Education:
Bachelor\'s degree in business administration, communications, or a related field.
2. Experience:
Proven experience as an executive assistant or in a similar role.
Familiarity with the education sector is advantageous.
3. Skills:
Excellent verbal and written communication skills.
Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Basic knowledge of accounting principles.
Exceptional organizational and time-management skills.
Ability to multitask and prioritize tasks effectively.
